The Records Specialist – Indexing will monitor patient records for all documentation required by CMS. The Indexer submits all paper documentation into the electronic medical record (EMR) both manually and through document management software. This role involves frequent use of EMR software, email, fax, phone, and requires coordination with internal teams and external providers. Accurate and timely performance directly impacts patient care, compliance, and financial outcomes. This role complies with all legal, Medicare & private insurance and company rules and regulations.
Key Responsibilities:
Identifies and processes returned physician’s orders
Identifies and processes returned face to face documentation
Identifies and processes referrals into the EMR
Identifies and processes paper visits into the EMR
Identifies and processes any additional or miscellaneous paperwork into the EMR
Maintains the physician database for current licensed
Assist clients, their families and co-workers in understanding records procedures and order tracking
Prioritize indexing outstanding documents to keep write-offs to a minimum
Prioritize indexing incoming referrals to assist in access to care
Understands and practices agency policies and procedures
Continually improves practices
Follows all legal rules and regulations
Attends in-services, educational programs and meetings as necessary
Assist in survey preparation by retrieving requested documentation
Qualifications:
High School graduate with Associates degree or equivalent experience required. Health care experience desired
Proficiency in Microsoft Outlook and Adobe. Experience working with World View (or other document management system) and e-fax systems is desired.
Experience working with computers with dual monitors is required
Detail oriented and ability to prioritize responsibilities
Excellent oral and written communication skill
