We’re currently recruiting for a Senior Support Specialist in the Economic Prosperity and Housing Department. The primary responsibilities for the job are to provide administrative support for department programs and staff. Provide administrative support to multiple boards, commissions and committees, as well as their subcommittees.

This is a full-time, regular, non-exempt union position. This position is covered under the provisions of an agreement between the City and the OPEIU union.
The schedule for this position is M-F, 8am to 5pm.

At this time, this position is eligible for telework or hybrid schedule. As with all routine telework positions, employees may be required to come into the office on occasion based on business needs. Telework may be subject to change at a future time. Currently, all employees must reside in Oregon or Washington; the City cannot support ongoing telework from other locations.

Job Details

Essential Functions:

  • Serve as secretary to the City Center Redevelopment Authority, the Lodging Tax Advisory Committee, Housing Advisory Committee, and provide backup support for Parking Advisory Committee.  Prepare for public meetings, including meeting the legal timeframes of public notification, compiling agendas, sending calendar invitations, generating submission of supporting documents by professional staff members, coordinating new member orientation, communicating with board and committee members on administrative issues, and transcribing and distributing meeting minutes.
  • Maintain the City Center Redevelopment Authority (CCRA)  Development Pipeline Report in Power BI and track monthly activity using City databases including Infor and ePlans.
  • Staff the Lodging Tax Grant program. Support the annual Lodging Tax Grants process from start to finish including establishing and maintaining processes and procedures, coordination of the application process through client interfacing, monitor applications and distribute follow-up forms in Grant Interface database, manage DocuSign and execute contracts by set deadline and set up procurement profiles in Workday for reimbursement.
  • Operate video meeting platforms such as Microsoft Teams and WebEx and coordinate with CVTV on televised meetings.
  • Maintain department and board/committee websites. Post information and updates for all department programs. Post board and committee meeting information and updates.
  • Perform administrative duties to support the department such as: purchase registrations and supplies on a City Purchasing Card, process the transactions within the system, assist with the preparation of large documents, maintain copier, distribute mail, serve as COOP Emergency management coordinator, perform a wide variety of administrative work including processing accounts payable and reimbursement requests. Serve as the main contact for EPH main phone line and respond to voicemails.
  • Conduct onboarding process for new hires including: new user forms, ordering and distribution of IT equipment and maintain IT equipment inventory for the department, complete health and safety orientation, update department org chart, phone list, and Teams channel. Coordinate offboarding duties.
  • Serve as department liaison to IT and other internal departments for new information system projects and requests for department feedback on matters such as space planning.
  • Provide administrative support as needed during events and public meetings.
  • Assist the Economic Prosperity & Housing Director with administrative tasks such as meeting scheduling and follow up and travel.
  • Perform other duties and responsibilities as assigned.

Qualifications

Experience and Education

Experience: 

  • Four (4) years of administrative experience in a public sector organization or organization with similar regulatory and public engagement requirements

Education: 

  • Equivalent to an associate's degree           

Equivalent combinations of education and experience may be considered.

Computer Skills

  • Microsoft 365:  Advanced skills in Microsoft Word, Excel, Outlook, PowerPoint, Teams and Zoom.

Knowledge

  • English usage, spelling, grammar and punctuation
  • Advanced record keeping skills
  • Basic principles of mathematics
  • Familiarity with the Open Public Meetings Act and experience with City of Vancouver, Boards and Commissions Program
  • Business letter writing and report preparation
  • Website content management system
  • Modern office procedures, methods and computer equipment
  • Use of personal computers and basic software
