Specialized Fiduciary Administrator I (SFA I), Tax, Private Banking, Providence-

The SFA I provides administrative support to Specialized Fiduciary Officers, Team Leaders, Group Manager and National Executive. Provides operational support that is reliable, efficient and responsive to the needs of the Officers and trust beneficiaries (clients). May serve as an additional point of contact for clients to assist with client requests. May work with external business partners (Attorneys, CPAs, Fiduciary Accountants, third party vendors, etc.) and with internal support partners (FAs, Sales, Tax, Compliance, SAM, ART, Operations, Technology Groups and Trust Administration, etc.) as needed. Responsible for routine administrative duties, such as performing account maintenance, processing transactions, file retrieval, optical imaging, filing, copying, ordering supplies, making and answering telephone calls, writing routine letters/e-mails and other tasks as required to administer accounts and serve client needs. May be asked to participate in projects, prepare reports and conduct research. The SFA I is supervised and supported by a Specialized Fiduciary Officer. College, Business School or equivalent experience helpful. Non-licensed associate.

Job Description:

The Specialized Fiduciary Administrator provides clerical assistance to the group by assembling tax returns, processing tax payments and refunds, maintaining files, handling correspondence, updating workflow tracking and processing expense reports.

Responsibilities:

  • Provide clerical assistance to the group by assembling and filing tax returns
  • Manage tax organizer/engagement letter mailing
  • Provides outstanding personalized service to High-Net-Worth clients
  • Resolves client issues in a timely and courteous manner
  • Ensure clients are quickly connected to the appropriate person with the expertise to meet their needs
  • Respond to client and client team regarding general inquires (copies of returns; quarterly estimates; confirmation of receipt of documentation)
  • Download client tax forms from system
  • Processing tax payments and refunds
  • Maintain all required Account Master and Tax Return field in Tracking
  • Responsible for billing to ensure full fees are timely collected
  • Preparation of invoice for private pay clients
  • Reconciliation of bank statement
  • Manage supply ordering/inventory control ensuring costs do not exceed budget   
  • Handling correspondence
  • Updating workflow tracking and processing expense reports
  • Monitor and oversee the Electronic Filing Tax Payment System

Qualifications:

  • Associate Degree in accounting preferred or equivalent work experience in the tax field
  • Proficiency in Microsoft Word, Excel, Power Point
  • Experience with SurePrep, GoSystem and ProSystem software a plus
  • Ability to multi-task in a fast-paced environment
  • Organizational skills, accuracy and attention to details, goal-oriented and dependable
  • Proven self starter with ability to work independently
  • Ability to perform work for multiple associates in a deadline driven environment
  • Overtime, including evenings and Saturday, may be required to meet workload during peak season (generally 20 – 25 hrs/wk from February – April 15 and September 1 – October 15)

Pay and benefits information

Pay range

$25.00 - $38.26 hourly pay, offers to be determined based on experience, education and skill set.
