Responsibilities

The Emergency Preparedness Specialist, under the direction and supervision of the Emergency Preparedness Compliance Manager, is responsible for supporting and coordinating of the emergency preparedness program, including maintaining emergency response and recovery plans working with internal and external partners to ensure a capable response to any potential hazard in an all-hazards approach for prevention, mitigation, preparedness, response, continuity, and recovery.

 

Essential Functions and Work Responsibilities

 

Functional Category: Emergency Preparedness Compliance

Estimated Percent of time Spent – 100%

  • Assisting with the design and administration of emergency preparedness training courses that teach participants, caregivers, staff members, Incident Management Teams, and external partners on how to effectively prepare, respond, and recover during emergency incidents.
  • Helping each facility with planning, implementing and conducting different emergency drills to prepare for disasters.
  • Developing and conducting annual exercises to include tabletop, functional, or full-scale.
  • Developing and implementing after-action reports and corrective action plans for exercises and real-world events.
  • Conducting monthly audits of emergency preparedness documents for all facilities to ensure they are compliant with the federal, state, and local regulations.
  • Conducting monthly audits of life-safety equipment inspections, maintenance and repairs for all facilities to ensure they are compliant with local fire code regulations.
  • Conducting annual Hazard Vulnerability Analysis (identifying threats and hazards to life, property, operations, the environment, and facilities, and the analysis of probabilities, vulnerabilities, and impacts) for all facilities.
  • Assisting in the annual Business Impact Analysis (identifying, quantifying, and qualifying the impacts resulting from interruptions or disruptions of InnovAge’s resources) based on hazards identified in the Hazard Vulnerability Analysis. The analysis can identify time-critical functions, recovery priorities, dependencies, and interdependencies so that recovery time objectives can be established and approved.
  • Conducting annual Resource Needs Assessments (human resources, equipment, training, facilities, funding, expert knowledge, materials, technology, information, intelligence, and the time frames within which they will be needed) based on hazards identified in the Hazard Vulnerability Analysis and the Business Impact Analysis.
  • Monitoring global safety and security concerns that affect our offices or employees using a global threat management platform.
  • Assisting with developing and updating all Emergency Preparedness policies, procedures, and documents based on after-action reporting.
  • Monitoring and disseminating daily situational awareness intelligence to Incident Management Teams, including potential disasters/emergencies such severe weather, tornadoes, hurricanes, wildfires and civil unrest.
  • Monitoring and disseminating situational awareness intelligence to Incident Management Teams during their response to disasters/emergencies.
  • Preparing status reports that describe recovery efforts, needs, and preliminary damage assessments during emergencies.
  • Maintaining and updating the InnovAge Mass Notification System (AlertMedia) to ensure Incident Management Teams and other distribution lists are up to date.
  • Communicating globally with employees using the emergency notification system.
  • Support incident management by improving disaster maps by adding/updating layers, refining data layers, and assisting in the management of ArcGIS InnovAge Incident Management Map.

REQUIRED

 

Education

Bachelors’ degree in emergency management, safety, or related field, and/or equivalent combination of education and experience required.

 

Licensure, Certification, Registration or Designation

  • Requires state issued driver’s license, personal transportation, good driving record and auto insurance as required by law and the ability to trav
  • FEMA IS 100, 200, 700, 800, and 2200

Work Experience and Qualifications

  • Minimum of four years’ experience in emergency management or related field.
  • Excellent interpersonal skills and experience managing projects.
  • Superior customer service skills and orientation
  • Ability to build strong working relationships and coordinating efforts across teams and departments.
  • Strong verbal and written (report) communications skills and presentation skills.
  • Ability to maintain professionalism at all times under stressful situations
  • Ability to plan and manage work under time constraints
  • Ability to multitask and work without direct supervision
  • Strong judgment, problem-solving and crisis management skills.
  • Strong organizational skills and collaborative style.
  • Proficient in Microsoft Office, Power Point, Visio and Microsoft Outlook software.

PREFERRED

 

Education

BA/BS in Emergency Management or major in a related field. (This is in the required education field as well)

 

Licensure, Certification, Registration or Designation

FEMA ICS 300, 400, and Homeland Security Exercise and Evaluation Program (HSEEP)

 

Work Experience and Qualifications

  • Experience in disaster and emergency planning, hazard mitigation, which includes project management/analysis, and maintaining records.
  • Knowledge of applicable standards in emergency management (i.e. Joint Commission, state regulations, federal regulations and standards) preferred.
  • Knowledge of healthcare facility operations and compliance a plus.
  • Proficiency with ESRI's ArcGIS Desktop.
  • Experience in delivering training to staff and executive leadership in person and in a virtual settings.
