Summary

Required to conform to the rules and regulations of the accrediting bodies (ACGME, CPME) as it relates to graduate medical education. Responsible for various aspects of the Graduate Medical Education Department to ensure credentialling success of the department and its programs. Provide administrative management of continuing medical education programs including submitting, gathering, data tracking, and preparing for ACGME and CLER inspections. Interact and assist the DIO in preparation and oversight of the credentialling of the Sponsoring Institution and residency and Fellow Program inspection and accreditation. Understand the ACGME inspection process and prepare for accrediting body and applicable laws and regulations. Position is crucial to the recruitment of residents and fellows to ensure the highest quality of training and to meet the institution’s mission of providing the highest quality patient care.

Major Job Functions

The following is a summary of the major essential functions of this job.  The incumbent may perform other duties, both major and minor, that are not mentioned below.  In addition, specific functions may change from time to time:

  • Work collaboratively with, and support the DIO in maintaining an optimal learning and work environment at Cape Fear Valley Health, achieving continued full ACGME accreditation, including oversight and monitoring of individual program as well as Institutional accreditation compliance

  • Serve as DIO’s designated official GME representative for Cape Fear Valley Health, making independent and trusted decisions related to the sponsorship of our GME programs on behalf of the DIO when the DIO is unavailable

  • Serve on Graduate Medical Education Committee (GMEC) and is Chair-designee for GMEC when the DIO is unavailable

  • Provide oversight and monitoring of individual program Annual Program Evaluations (APEs) and Annual Institutional Review (AIR)

  • Consider cost vs. benefit of proposed expenditures

  • Annual budget preparation and tracking throughout the year

  • Prepare, distribute and maintain affiliation agreements for required rotations for all residency programs sites and Sponsoring Institution accreditation requirements

  • Prepare policies and procedures to conform to guidelines and accreditation for ACGME, CLER and CPME

  • Coordinate daily Sponsoring Institution office operations to ensure a smooth and efficient workflow

  • Manage and provide daily supervision and guidance to support staff, Managers, Program Directors, and Program Administrators

  • Generate and maintain departmental databases including departmental personnel, interviewed applicants, APE, AIR

  • Oversee and manage secure document storage process including disposal of all confidential materials

  • Process departmental personnel payroll using appropriate time management

  • Supports DME in all intern/resident recruitment activities, travel and accommodations

  • Administer evaluation process of interns, residents, fellows and teaching attendings

  • Prepare and maintain revisions to annual publication of the Department Medical Education Sponsoring Institution Policies and manuals

  • Prepare and coordinate program site visits (accrediting body) and generate reports for various agencies

  • Create and maintain Graduate Medical Education Sponsoring Institution websites

  • Ensure semi-annual evaluations for interns and residents with the VPME/PD are performed

  • Coordinate the bi-monthly Sponsoring Institution Didactics for Residents and Fellows

  • Track and follow-up on monthly and year-end intern/resident logs and evaluations

  • Ensure program letters of agreement are in place and current for each rotation

  • Investigate and present concerns to DME/PD regarding issues or concerns about resident performance reported by staff or via hospital quality mechanisms

  • Utilize residency management software (i.e., New Innovations) for rotation schedules and online evaluations

  • Assist with periodic updates to residency program descriptions and documentation, including the ACGME   Accreditation Data System

  • Assist with preparations for incoming residents, including contracts, orientation programs, academic file preparation, and inspection preparation

  • Train new program administrator and program managers

  • Other duties as assigned

Minimum Qualifications

The following qualifications, or equivalents, are the minimum requirements necessary to perform the essential functions of this job:

Education and Formal Training

  • Master’s degree in healthcare related field is required

  • PhD, DO, or MD preferred

Work Experience

  • 10 years progressively responsible experience in graduate medical education preferred

  • 1 year prior experience as DIO, Associate DIO or worked successfully in related major leadership position in GME (Associate or Assistant Dean or equivalent) preferred

Knowledge, Skills, and Abilities Required

  • Working knowledge of hospital setting helpful

  • Knowledge of continuing medical education and event planning preferred

  • Strong computer skills including Word, Excel, Access, PowerPoint

  • Strong written, oral, and interpersonal skills essential

  • Ability to multi-task and be well organized

  • Medical terminology

  • Typing ability of 60-65 wpm

  • Confidentiality a must

  • Team player

  • Understanding data retrieval from New Innovations and production of reports

  • Verbal and written communication abilities to effectively express ideas and views when speaking to or otherwise communicating with hospital staff and people in the community

  • Numerical ability to interpret and evaluate statistical data used in planning hospital operations, patient safety data, and budgets

  • Organizational ability is required to plan and control the activities of one or more hospital departments or functions and to recognize and establish priorities

  • Capacity to relate to people from various professional and nonprofessional backgrounds in a manner which wins confidence and establishes support for the goals and objectives of the hospital and its administration

Physical Requirements

  • Visual acuity to review data, reports, and make analysis

  • Ability to move throughout the Medical Center

  • Speaking and hearing to converse with individual members of hospital staff and to address various groups
