General Role Description

Manage the Company’s mail services and facility maintenance

Role Accountabilities

-   Manage daily print, copy, scanning, and mailroom operations

-   Ensure timely completion of all print and mail jobs with high quality and accuracy

-   Maintain and operate office and production equipment, ensuring functionality and scheduling repairs as needed

-   Manage supply, negotiate, and coordinate inventory re-ordering for paper, toner, and related materials

-   Prioritize and schedule print and mail requests to meet deadlines and quality standards

-   Maintain accurate records, usage reports, and performance metrics

-   Manage building maintenance, including, but not limited to, furniture repair, wall hanging, basic equipment setup, recommending and negotiating with vendors for specialized repairs

-   Monitor external contractor performance, resolving issues, escalating as needed

-   Ensure timely, safe, and cost- effective meeting room setup, office moves, and minor installations

-   Perform receptionist tasks, including but not limited to,  phone coverage, visitor check-in, and general front-office support, as needed

-   Manage mail distribution, deliveries, and office shipping/receiving functions as needed

Minimum Qualifications

-   High school diploma or equivalent

-   3 years’ experience in print shop management

-   2 years’ experience in building maintenance

-   Ability to lift and move 50 lbs. on a regular basis

-   Demonstrated successful experience with vendor management

-   Demonstrated successful experience safeguarding sensitive information with discretion and confidentiality

-   Demonstrated successful experience with administrative, clerical, and office systems and equipment

-   Demonstrated successful working relationships with clients, suppliers, and other internal and external contacts

-   Demonstrated successful and positive personal leadership, interpersonal, organizational, administrative, and communication skills

-   Demonstrated continuous improvement in areas of responsibility

-   Proficiency in MS Products

-   Availability to travel domestically, less than 5%, sometimes with limited notice

Preferred Qualifications

-     Associate’s degree in business management or related field

-     5 years’ experience managing print shop equipment, including large production printers

-     Demonstrated experience with international shipping, customs compliance, and hazardous materials handling
