Fiduciary Trust International is hiring an Executive Assistant to join our Lincoln, MA team. The Executive Assistant will support the Regional Managing Director, Chief Accounting Officer, Head of Advisory Solutions Group, Head of Manager Research, and other investment and client service professionals in the Lincoln office by handling a wide range of administrative and executive support related tasks while being proactive, resourceful and efficient, with a high level of professionalism and confidentiality. The Executive Assistant will also be responsible for all office manager responsibilities.

How You Will Add Value

Core Responsibilities

  • You will provide organizational support including managing schedules, compiling documents and reports, maintaining a filing system, supporting travel planning, etc.

  • You will schedule and coordinate meetings, events, conference calls, video conferences and web conferences including reserving meeting rooms, audio/visual equipment, catering and other resources.

  • You will perform administrative duties (processing expense reports/vacation records, scanning, emailing, filing, obtaining signatures on documents and returning to the proper person) and regularly interact with employees at all organizational levels to gather information.

  • You will sort and distribute mail, maintain inventory of department supplies.

  • You will arrange complex and detailed travel plans and itineraries for travel and compile documents for travel-related meetings.

  • You will proactively identify problems and implement solutions with limited supervision and have the ability to anticipate executive priorities and, when possible, resolve issues.

  • You will prepare routine and non-routine correspondence, reports and presentations while regularly handling information that is sensitive or confidential in nature.

What Will Help You Be Successful

Experience, Education & Certifications

  • 2-5 years of administrative work experience

  • Experience in domestic travel

Technical Skills

  • Strong Microsoft Office suite skills, including Excel, Word, PowerPoint, SharePoint

  • Experience in using and setting up audiovisual equipment

  • Compile and analyze information and reports relevant to department projects

Soft Skills

  • Excellent verbal and written communication skills, and high degree of professionalism

  • Excellent organizational skills and customer service skills

  • Ability to perform multiple tasks in a fast paced, team environment

  • Ability to work independently

  • Strong attention to details and ability to work with minimal supervision

  • Ability to solve routine department problems with little direction

  • Ability to assess a problem quickly and determine what steps are to be taken to correct the situation

  • Ability to communicate effectively with clients and colleagues at all levels

  • Ability to balance multiple work assignments and adapt to a changing work environment

  • Ability to work overtime and alter work schedule based on work volumes and business needs

Work Schedule & Location

  • Able to commute to our office located in Lincoln, MA several days per week

Compensation: Franklin Templeton offers employees a competitive and valuable range of total rewards—monetary and non-monetary — designed to support their well-being and recognize their time, talents, and results. Along with base compensation, employees are eligible for an annual discretionary bonus, a 401(k) plan with a generous match, and recognition rewards. We expect the base salary for this position to range between $95-105K, depending on level of relevant experience, plus discretionary bonus.
