JOB DESCRIPTION

DISTINGUISHING FEATURES OF THE CLASS:

Provides high-level administrative, project and financial support to Senior Executive Staff, handling confidential information and coordinating initiatives that advance the College’s strategic goals. Provides operational and financial support in collaboration with financial teams to ensure accurate recording, reporting, and compliance. Requires the application of specialized technical/administrative knowledge and exercises independent judgment and discretion in managing sensitive communications, projects, and executive priorities.  Ability to work independently and take initiative in a dynamic environment. 

TYPICAL WORK ACTIVITIES:

  • Coordinate, track, and support executive-level projects, including research, data analysis, and reporting

  • Support process improvement, cross-divisional coordination, and special projects

  • Prepare briefing materials, background analyses, and talking points for decision-making

  • Committed to producing professional, high-quality documents through thorough proofreading and editing

  • Serve as liaison with internal and external stakeholders; performs exceptional customer service for students, employees, and the public

  • Prepares, receives, and distributes correspondence including confidential and sensitive information

  • Facilitate and support institutional governance models, including Board of Trustee requirements, College Senate activities, and compliance with collective bargaining agreement (CBA) policies and procedures

  • Maintain confidential records and databases in accordance with College policies and regulations.

  • Assist with budget tracking and procurement related to executive office initiatives including ensuring the timely processing and approval of a variety of departmental requisitions

  • Enter and track financial transactions and prepare invoices to support accurate financial operations

  • Review, analyze, and distribute financial reports to inform executive decision-making

  • Performs other duties as assigned

KNOWLEDGE, SKILLS AND ABILITIES:

This position requires strong knowledge of executive-level administrative practices and institutional protocols, with a demonstrated ability to manage sensitive information with discretion. Success in the role relies on advanced communication and interpersonal skills to interact effectively with diverse stakeholders, as well as organizational agility to navigate a dynamic environment. The ability to exercise independent judgment, anticipate needs, and adapt to shifting priorities is essential. Strong critical thinking and problem-solving abilities, combined with initiative and professionalism, ensure effective support for executive leadership and alignment with the College’s strategic goals.

MINIMUM QUALIFICATIONS:

Graduation from an accredited college or university with a Bachelor’s degree in business administration, higher education administration, public administration, or related field; and minimum five (5) years of administrative experience supporting senior leadership.  Master’s preferred.

SPECIAL REQUIREMENTS:

Official transcripts will be required for successful candidates within 30 days of hire.

Student Affairs/Enrollment Management:

For assignment to Student Affairs and Enrollment Management areas:  The role requires a working knowledge of student development theories and enrollment management models to effectively support the Associate Vice President for Student Affairs and the Vice President for Enrollment Management. The ability to understand how policies, services, and programs influence student engagement, persistence, and success is essential. Familiarity with enrollment trends, recruitment and retention strategies, and data-informed planning supports the coordination of projects and initiatives that advance institutional priorities.
