Overview/Risks
Maintains all responsibilities of IIAM Organ Placement Coordinator (OPC) 1,2, & 3. This position also serves as the primary trainer in Neonatal process for OPC 3 positions. Monitors and ensures that OPC3s have equitable sharing of Neonatal cases. Keeps track of the status of Neonatal cases assigned to others in order to provide feedback and maximize research placement opportunities. Acts as a resource to all OPCs, Researchers, and OPOs regarding best practice for Neonatal cases. Monitors and carries out Galaxy of the Guardians as well as other Neonatal specific, ongoing duties. Displays respect for the donor and donor family at all times and maintains donor confidentiality. Attends and participates in training and educational opportunities both within and outside of IIAM as needed.
Responsibilities
- Primary trainer of IIAM Organ Placement Coordinator 3 in Neonatal process. May need to be available outside of regular work hours if trainable scenarios arise.
- Monitors the assignment and progression of all Neonatal Cases in addition to cases assigned to themself.
- Provides feedback and suggestions to all OPCs, Researchers, and OPOs on Neonatal cases to maximize research opportunities.
- Act as primary point of contact for requests made by potential donor families via IIAM website, or otherwise, regarding Neonatal donation.
- Monitors and carries out all follow up on ongoing, Neonatal aftercare duties.Carries out other Neonatal specific, ongoing tasks.
- Assists outside of regularly scheduled hours on Neonatal cases when challenges arise, as able.
- Responsible for ongoing review of potential neonatal donors, including initial diagnosis of neonate, known relevant medical issues, gestational age at time of referral and anticipated delivery, reason for poor neonatal prognosis, delivery plan, and matching of biomaterials to researcher needs. Communicates and coordinates with OPOs, care teams, Neonatal Donor Families, and Researchers
- Acts as a subject matter expert for all neonate cases.
- Leads turnover meetings between shifts, ensuring a smooth transition of caseloads to oncoming shifts.
- Assess, prioritize and assign all incoming organ and tissue offers to all Organ Placement Coordinators on duty.
- Monitors and adjusts the caseloads of team members so that Organ Placement Coordinators have balanced caseloads.
- Utilize existing knowledge of applicable Organ Procurement and Transplantation Network (OPTN) policy and organ donation timeline to carry out allocation of Liver, Heart, Lungs, Pancreas, Kidneys, Intestine and other tissues for research.
- Serve as the main source of donor information throughout the screening, allocation, and procurement process between OPOs and research organizations.
- Act as the organ allocation specialist, applying critical thinking to the organ allocation strategy to maximize utilization and prevent organ waste.
- Review donor medical history, clinical information, labs, etc within UNOS (United Network of Organ Sharing) DonorNet system and relay relevant information to research entities.
- Screen donors against multiple research projects across the country and globe utilizing known project criteria.
- Interact with OPO to obtain legal documents for authorization.
- Effectively and clearly communicate donor medical information to matching research organizations in order to allocate. Request additional information and tests from OPO as needed.
- Assess situations that call for bypassing typical allocation priority order.
- Coordinate with all applicable parties to ensure organ transportation timing aligns with surgical recovery.
- Arrange organ ground and air transportation and create case-specific transportation strategies to minimize strict organ ischemia times that typically time out within 12-24hrs of surgical recovery.
- Work with stakeholders to reduce risks to organ utilization. Proactively identify obstacles, work towards solutions, and escalate high-risk situations as necessary.
- Communicate with organ recovery team or designees to capture and relay organ quality information.
- Review and share organ recovery documentation, intraoperative documentation, and organ anatomy paperwork.
- Ensure documentation related to donation events in EDR ( electronic donor record) is completed accurately and timely.
- Provide the highest level of customer service and professionalism at all times.
- Perform all aspects of role in accordance with IIAM SOPs and in compliance with MTF Core Values, company policies and standards as well as those of applicable regulatory bodies.
- Participate in case review and process improvement meetings with the goal of increasing organ utilization and efficiencies.
- Attend monthly Organ Placement Coordinator meetings as requested.
- Serve as a preceptor to new hires as directed.
- Assist with special projects and performs additional duties as assigned.
Qualifications
- Bachelor's degree in biology or other health-related field, or a combination of education and/or equivalent work experience
- 4 years organ allocation experience at an OPO, or other equivalent training. Must have been signed off in the responsibilities of IIAM Organ Placement Coordinator 3 for at least 2 years
- 2 years coordinating and caring for families considering or actively involved in neonatal donation. Required Organ Allocation Experience with Organ Procurement Organization (OPO) or UNOS Work simultaneously on several organ donor allocations, all at varying stages of donation process Make sound assessments during time critical processes.
- Maintain a broad understanding of and commitment to the organ and tissue donation process. Complete time sensitive tasks crucial for successful organ utilization.
