Job Description

Student Account Specialist

Our Student Account Services team plays a crucial role in ensuring that students have a seamless experience managing their accounts while making a positive impact on their financial well-being. We are seeking a dedicated and detail-oriented Student Account Specialist to join our team and contribute to this important mission.

As a Student Account Specialist, you will serve as a vital link between Student Financials Services and other campus departments, providing essential support to resolve student account issues. In this role, you will analyze student accounts to identify and correct discrepancies, manage department charges, and accurately process adjustments. You will also act as the primary liaison for tuition benefits between BYU and Church entities, including the Presiding Bishopric’s Office, Mission President’s Office, and other CES institutions. In addition to these responsibilities, you will evaluate and approve fee exception petitions, ensuring fairness and consistency, while contributing to the training and development of student employees to strengthen the team’s overall service delivery.

What you’ll do in this position:

  • Assist with student account transactions, including posting, adjustments and error corrections.
  • Provide essential assistance to various departments around campus to upload charges to student accounts.
  • Reconcile refunds daily to ensure accuracy and compliance with federal regulations.
  • Manage the Financial Aid Credit Balance Report to identify, research, and resolve pending balances in compliance with federal regulations.
  • Collaborate with CES institutions, the Missionary Department, and the Office of the Presiding Bishopric to ensure proper disbursement of tuition benefits.
  • Oversee manual processing of EMBA tuition and scholarship postings in coordination with the Marriott School.
  • Review and process the tuition exception fee petitions, prepare analyses for the Fee Exceptions Committee, and make account adjustments based on outcomes.
  • Assist in managing Salesforce cases and addressing student inquiries.
  • Manage the class deletion process, including compiling delete lists, coordinating with Enrollment Services and the Registrar’s Office, and notifying affected students.
  • Coordinate with the Tax Office to post and refund Moving Advances.
  • Manage Payroll overpayments and deductions.
  • Conduct training sessions for Enrollment Services student associates pertaining to Student Financial Services processes and procedures.
  • Maintain and uphold metrics to ensure efficient service delivery.
  • Assist with reconciliations including the monthly budget reconciliation for the department.
  • Collaborate with Enrollment Services to review and update content on the websites. 

What qualifies you for this role:

Required

  • A firm commitment to the mission of BYU
  • Bachelor’s degree or equivalent combination of education and office experience
  • Basic understanding of accounting principles (knowledge of debits, credits, and reconciliation processes)
  • Strong attention to detail with excellent analytical and organizational skills
  • Excellent written and verbal communication skills for clear and professional interactions
  • Ability to multitask, prioritize, and manage complex processes across multiple departments
  • Consistent follow-through to ensure tasks are completed accurately and on time.
  • Ability to analyze complex student account issues and explain details clearly to customers without accounting backgrounds
  • Ability to maintain confidentiality

Preferred

  • Bachelor’s degree in business or another field requiring numeric analysis plus 1 year in a university student finance or financial aid position
  • Proficient skills in Microsoft Office Suite (Word, Excel, Outlook)
  • Familiarity with PeopleSoft, Salesforce and Workday platforms
  • Experience in conducting training sessions
  • Knowledge of Title IV regulations with regard to financial aid disbursements

Pay Grade: 49

Typically Salary Range: $22.50-$29.25
