HR & Finance Operations Specialist (School of Medicine)

The HR & Finance Operations Specialist provides comprehensive support across human resources, financial operations, and general administrative functions. The role oversees key HR activities including student hiring, timecard management, and components of the onboarding process for all employees, while also supporting records management, culture‑building initiatives, HR policies and procedures, and responding to common employee inquiries. In addition, the position assists with financial operations such as invoice management, Workday transactions, budget reports, and training new employees on financial processes. This role also provides administrative support by assisting with BYU School of Medicine events, coordinating and scheduling meetings, providing office management, etc. Success in this role requires a customer‑focused and personable approach, strict confidentiality with sensitive information, proficiency in the Microsoft Office Suite, and exceptional attention to detail. This role will play an important part in supporting and fostering a spiritually enriching environment where employees and students can deepen their testimonies of Jesus Christ while preparing students for a lifetime of service as Christ-centered physicians.

What you will be doing in this position

Human Resource Operations Specialist

  • Assists with the hiring process for faculty and staff, including scheduling interviews and attending interviews as needed.
  • Oversees parts of the onboarding process and training of new employees.
  • Oversees the hiring process for student employees.
  • Manages timecard corrections and pay adjustments.
  • Assists with managing HR files, including employee and affiliate records, in compliance with the university records retention policy.
  • Assists with CRM management and messaging to interested individuals about job postings.
  • Gives input to and assists with creating, implementing, and maintaining HR directories, processes, and procedures.
  • Gives input and support to events, programs, and processes that support a positive culture.
  • Responds to common HR inquiries from employees and prospective employees about policies, programs, processes, system navigation, and process statuses.
  • Assists with managing employee leave and accommodation requests.
  • Collaborates with the HR Business Partner on issues as needed and serves as backup when required.
  • Supports the HR Business Partner with other projects and responsibilities as assigned.

Finance Operations Specialist

  • Assists with managing independent contractor agreements.
  • Assists with managing and processing invoices.
  • Assists with approving expense reports.
  • Provides training to new employees on basic Workday tasks.
  • Supports BYU MED leaders by creating Workday spend authorizations and expense reports as needed.
  • Assists with maintaining compliance with University policies.
  • Run and provide simple analysis of budget reports.
  • Collaborates with the Finance Business Partner on financial issues as needed and serves as backup when required.
  • Additional projects and responsibilities as needed.

General Administrative Support

  • Assists with coordination of meetings and preparing meeting materials.
  • Attends meetings as requested, takes minutes, and manages follow-up if necessary.
  • Manages or assists in the coordination of conferences and special events as requested.
  • Assists with planning, coordination, and execution of business travel for BYU MED leaders as needed.
  • Stays up to date and provides guidance on University Policies & Procedures.
  • Assists with supply inventory, anticipates needs, places orders, and verifies deliveries.
  • Ensures effective operation of office equipment, including maintenance requests and ordering of new parts and supplies as needed.
  • Assists in the scheduling of college facilities, including conference rooms and classrooms.
  • Coordinates with IT support staff to ensure prompt resolution of technical issues.

  • Implementing efficiencies in processes they oversee.
  • Determining priorities on daily workload, completing assignments, and meeting deadlines.
  • Details associated with planning and coordinating meetings and events.
  • Purchasing office supplies and machines.
  • Independent judgment about what to do and whom to contact if an emergency arises and the Associate/Assistant Deans and other leaders cannot be reached.

What qualifies you for this role

Education/Experience

Minimum Required (one of the following):

  • Bachelor's degree in human resources, business, or another related field
  • Bachelor’s degree in unrelated field and 2+ years’ experience in human resources, office management, or other relevant experience
  • Four or more years’ experience in human resources, office management, or other relevant experience

Preferred:

  • Bachelor's degree in human resources, business, or another related field and two or more years’ experience in human resources or office management

Preferred:

  • Knowledge of university policies, procedures, and programs
  • Knowledge of Workday
  • Awareness of laws and government regulations impacting HR programs.

Pay Grade:  49

 

Typical Starting Pay:  $22.50-$29.25 ($47,500-$61,500)

The actual compensation offered will take into consideration internal equity and may vary based on the candidate’s job-related experience, knowledge, skills, and other relevant factors. Candidates with very significant work-related experience may receive an offer higher than the posted typical range.
