Overview:

Sentara Martha Jefferson Hospital is hiring an Office Assistant for our New Endoscopy Unit. This is a Full Time, Day shift in Charlottesville, VA! Schedule: Five 8 hour shifts.

This role will support our new outpatient Endoscopy unit opening January 2026! Training will be within the main hospital endoscopy unit.

Endoscopy Unit: 

Sentara Martha Jefferson Hospital’s Digestive Care Center’s board-certified gastroenterologists, including two Gastroenterology physicians and a colorectal surgeon, treat a variety of diseases affecting the gallbladder, liver, mouth, stomach, intestines, pancreas, colon, and esophagus. The new department will have 4 procedure rooms.

This role will answer the telephone and assist callers or those making varied inquiries by email or mail with any requests for information, directing more complex matters to colleagues as necessary. Use standard office software to carry out basic formatting of letters, memoranda, and routine reports. Open and distribute mail and use form letters or emails to respond to routine requests. Conduct data entry into company systems, and review and verify the information to ensure accuracy and accessibility. Maintain appointment calendars and reserve meeting rooms, following detailed instructions to arrange business meetings efficiently. Organize own work schedule each day in line with changing priorities. May include other job duties as assigned.

Hours are primarily Monday to Friday from 7am to 430pm, with no night or weekend shifts, though occasional variations in hours may occur.

The Scheduler Duties Include: Schedules appointments and procedures for patients and verifies patient information. Responsible for order entry process, communications, guest relations, medical records maintenance, and analysis. Performs various clerical and administrative duties.

Education

  • HS - High School Grad or Equivalent

Certification/Licensure

  • No specific certification or licensure requirements

Experience

  • Minimum 1 year of experience in a related area such as a customer service environment, in a medical office, or in a healthcare environment Required

  • Operating room or procedural scheduling experience preferred

  • Physicians scheduling preferred

  • 1 year of experience with Medical Office and Medical Terminology preferred.

  • Experience in Epic, Microsoft Office, Outlook, Excel preferred
