Assistant Director, Advisement Center
We welcome applications for an Assistant Director of the UW-Stout Advisement Center. This position will assist the Director in running the office and ensuring that advising processes are efficient, clear, timely, and communicated with appropriate staff/faculty/students. The Assistant Director, in coordination with the Director, will support all facets of academic advising within the UW-Stout Advisement Center to ensure quality, timely academic advising for our students. The Advisement Center is a fast-paced environment that ensures students receive accurate, and timely advising services in support of promoting student success, retention, and program completion, and is a department with the Vice Chancellor’s Office of Enrollment and Quality. This is a full-time, 12-month appointment with an anticipated start date of Jan. 1, 2026 or sooner.

Supervision (25%)
Exercise supervisory authority over minimum two (2) full-time academic advisors.
In coordination with the director, provides oversight and decision-making authority of all aspects of academic advising.
Supports the director in creating data reports for campus partners and sharing information with the university.
Maintains positive relationships with campus partners and shares necessary information in a timely manner.
Updates office procedures, manuals, and training materials based on need and feedback from appropriate partners.
Participates in the campus-wide advising community providing input to leadership regarding the development of advising, recruitment, and co/curricular programs offered by the school/college.
Actively participates in staff meetings and in-office committee work.
Serves on assigned interdepartmental and university committees.
Academic Advising (75%)
Receives, processes, and responds to academic inquiries according to established policies and procedures.
Serves as a main point of contact for students and provides information about educational opportunities and academic requirements; assists with identifying and assessing interests, skills, and values to match appropriate field of study/career options and refers students to appropriate institutional resources.
Supports holistic student development to help students from all backgrounds get the most out of their college experience with positivity, encouragement, and sound judgment.
Maintains confidentiality and accurate students records and processes and responds to academic inquiries according to established institutional and Family Educational Rights and Privacy Act (FERPA) policies.
Proactively engages students as needed and uses campus tools to effectively support students as quickly as possible.
Consults with academic program directors regarding current program requirements. Attends academic program department meetings as requested and works collaboratively with faculty to ensure student success.
Introduces students to and assists students with information and instructional technology: Access Stout (Peoplesoft), EAB Navigate, Canvas, Stellic, informational websites, Transferology, 4-year plans, university bulletin, etc.
Maintains accurate case notes and records in EAB Navigate.
Welcomes guests and students to campus as an active participant and presenter at First-Year Registration and Orientation (FYRO) and campus preview days. Gathers information regarding previously earned credits to assist in providing accurate course advising to assist in a student’s preparation for their first semester(s) at UW-Stout.
Other duties as assigned by supervisor.
Minimum starting salary of $55,000, commensurate with qualifications and experience.
Bachelor’s degree.
3+ full-time year equivalent working as an academic advisor in a post-secondary education setting.
Desire to help students succeed and achieve their goals.
Desire to help staff and faculty advisors support students.
Excellent written, oral, and interpersonal communication skills.
Detail oriented and ability to meet deadlines.
Earned master’s degree in higher education administration or an academic field related to a program offered at UW-Stout.
Supervisory experience in a higher education setting.
Experience with complex advising processes (advising handoff between staff/faculty advisors, registration communications, appointment messaging, enrollment campaigns, etc).
Knowledge of large-scale issues in advising.
Experience implementing continuous improvement processes.
Ability to work in a fast-paced, collaborative team environment to solve complex problems and effectively communicate solutions.
Mastery of basic Learning Management System, Student Information System, Degree Audit Management System, and CRM skills. (I.e. pulling reports, taking notes, reading degree audits, planning courses, locating student information, sending communications, etc.)
Knowledge of Student Development Theory and its application to academic advising.
