Hours: Monday–Friday, 7:00 a.m. – 3:30 p.m.
Duration: Summer 2026

 

Position Summary

The Student Facilities Management Assistant provides administrative, operational, and environmental compliance support to the Facilities Management team. This position requires strong organizational skills, attention to detail, and the ability to manage multiple systems and priorities in a fast-paced office environment.

Essential Duties and Responsibilities

  • Perform general clerical and reception duties, including answering phones, assisting walk-in customers, photocopying, and filing.

  • Process work order requests received via phone and iServiceDesk; contact Facilities staff via radio for urgent service needs.

  • Distribute work requests as needed.

  • Update and close completed work orders in the WebTMA system, ensuring accurate coding and documentation.

  • Provide data entry and maintain records within WebTMA.

  • Utilize Excel to assist with documentation and recordkeeping; verify and match data with accuracy.

  • Navigate multiple software applications efficiently.

  • Collect stormwater samples and determine appropriate analysis methods; document collected data.

  • Assist with preparation of the annual Stormwater WPDES permit report.

  • Review stormwater inspection reports for accuracy and completeness.

  • Maintain strong organizational practices and prioritize assignments effectively.

  • Adapt to changing workloads and operational needs.

  • Assist with special projects and additional functions as assigned.

Minimum Qualifications

  • Must be a current student.

  • Strong attention to detail and organizational skills.

  • Ability to manage multiple tasks and systems simultaneously.

  • Basic proficiency in Microsoft Excel.

  • Must possess a valid driver’s license.
