Job Duties:

The Continuing Education Event Planning Assistant assists with planning conferences and trainings both on and off the UWSP campuses, strengthens and supports partnerships with internal and external stakeholders, adheres to policy, and assists with program administration to promote stable and productive relationships between the university and regional community. They will also schedule and secure resources and communicate conference logistics.

Travel is a core function of this position and requires driving a state vehicle. Applicants are required to have a valid driver’s license and a reliable source of independent transportation for periodic in-state work travel, and/or comply with requirements of the Travel and Expense Policy.

Key Job Responsibilities:

  • Performs on-site event set-up and clean up and may perform basic custodial duties
  • Guides and trains student workers
  • Assists with the creation of promotional materials and resources for events
  • Gathers, enters, and maintains accurate event data and records
  • Assists with scheduling logistics and securing resources for vendor services
  • Greets customers/guests, assists with registration, answers questions, and provides routine information, referring more complicates issues to appropriate entities

Department:

UW-Stevens Point Continuing Education (CE) extends university programs and resources beyond the campus by offering non-credit courses, workshops, and conferences to meet the learning needs of audiences of all ages. Each year, CE enrollments exceed 20,000 in approximately 800 offerings. The 20-member staff has offices on all three UWSP campuses.

Compensation & Benefits:

The Continuing Education Event Planning Assistant is a full-time, hourly, non-exempt, annual (12-month), university staff position.

Well-qualified candidates can expect a starting rate between $17.30 - $19.23 per hour commensurate with the candidate’s education, related experience, and qualifications.

Required Qualifications:

  • High School Diploma
  • Competency and accuracy in Microsoft Office including Outlook, Word, Excel, PowerPoint, and Zoom.
  • Demonstrated effective oral and written communication with experience serving as a primary contact for individuals and groups via phone, in person, and through other communication mediums.
  • Experience preparing and reviewing records, editing documents, and reviewing work done by others.
  • Ability to work under general supervision on multiple projects simultaneously, capably, and confidently, both virtually and in-person.
  • Experience building and editing websites.
  • Ability to drive a state vehicle.
  • Ability and willingness to travel overnight (0-6 nights per month).

Preferred Qualifications:

  • Associate’s or higher degree
  • Experience in event planning and execution, in person, virtual, and/or hybrid.
  • Experience coordinating event AV equipment and/or providing technical assistance in a conference-like setting.
  • Experience capturing, editing, and posting videos.
  • Experience in creating marketing campaigns: social media, print and email.
  • Experience in building relationships with a broad range of customers and working with boards, planning groups, or professional organizations.
