We are Looking to Add a Key Member to our Operations Team!
We are seeking a highly skilled and motivated Executive Assistant to support our President and Senior Vice President of Operations. The ideal candidate will possess exceptional strategic planning, critical thinking, and complex problem-solving abilities. This role requires a proactive, detail-oriented individual who can manage multiple tasks and projects simultaneously while maintaining a high level of professionalism and confidentiality for the President and his direct reports.
As an Executive Administrative Assistant, you will:
- Executive Partnership:
- Act as a strategic partner to President and Senior VP, fostering a trusted partnership through the handling of sensitive company and personal information with discretion and integrity
- Serve as a liaison between the executive team and internal/external stakeholders, communicating effectively and ensuring clarity and professionalism in all interactions.
- High-level administrative support to the President and Senior VP, including managing schedules, coordinating/facilitating meetings, travel arrangements, email management, and handling correspondence.
- Meeting coordination may include scheduling, support material development (agendas, presentation development/editing) and follow-up action item tracking.
- Prioritization: Effectively differentiate between urgent and important tasks, aligning time and focus with executive priorities. Demonstrate the ability to adapt to changing priorities and manage multiple tasks simultaneously.
- Anticipatory Support: Proactively manage upcoming needs, identify gaps and initiate solutions before issues arise.
- Resourcefulness: Find solutions and workarounds when challenges arise.
- Special Projects: Take ownership of special projects or priorities as they arise, collaborating with internal stakeholders to ensure successful outcomes.
- Cross-functional Collaboration: Build strong internal partnerships and coordinate work efforts across teams and business units.
- Office Management: Oversee daily office operations, including managing supply inventory, coordinating with office vendors and GreatAmerica facilities/security team, assisting in organizing office events, and coordinating visitor activities.
To be successful in this role you will need:
- Bachelor’s degree in business administration or related field preferred.
- Minimum 5 years’ administrative assistant experience with preferred executive assistant experience
- Experience in the banking or financial service industry preferred.
- Strong strategic planning, critical thinking, and complex problem-solving skills.
- Excellent leadership and project management abilities.
- Highly organized, proactive, and capable of managing multiple tasks simultaneously.
- Demonstrated experience working in a collaborative, team environment.
- In-depth understanding of key business areas and sector-specific knowledge.
- Exceptional communication and interpersonal skills. Attention to detail in writing, in meetings, and with stakeholders.
- Open to exploring innovative solutions and taking calculated risks to achieve organizational goals.
- Exhibits a proactive attitude towards personal and professional growth.
- Embraces challenges with a positive mindset and a commitment to continuous improvement.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Adobe and other relevant software.
