Job Details:

Under general supervision, coordinates, collaborates, researches permit data to update and scan permit records; responds to customer permit and inspection requests; and cash handling , Perform other related administrative duties as directed.

ESSENTIAL JOB FUNCTIONS:

1. Ability to work effectively with the public and City staff to address inquiries for information, assistance, and resolution of complaints; ability to review responses for clear communication of the resolution; ability to maintain, scan, code, and enter data into databases for tracking and document management; ability to print out closed customer comment forms and file.

2. Maintain training program and serve as Service Representatives; close/balance daily financial reports including cashier reports, bank deposits, cash, checks, impact fees and revenue totals.

3. Ability to assist management staff with interpreting permit information and entering data into various programs such as AMANDA and the document management.

4. Manage document management or impact fee program’s structure, accounting, reports and monitoring practices.

OTHER JOB FUNCTIONS:

5. Ability to generate correspondences, memos, agendas, reports, forms and manuals and/or other written materials appropriate to department; ability to ensure necessary copies of pertinent forms, materials, reports, records and documents are made, distributed, and filed.

6. Ability to receive and review various records, forms, and reports for the purpose of completing or verifying for accuracy; ability to process various forms required of assigned division and distribute department/division information, reports, and other relevant materials appropriate to division; ability to access information through Arc IMS - Web Maps, Map View and Map Quest.

7. Ability to access input and retrieve information from the City's mainframe and personal computer utilizing various software; ability to train other employees on office and work location procedures involving customer service and office maintenance.

8. Ability to direct, control, and plan operations involving the activities of other or process with which others are involved; ability to establish and maintain effective working relationships with other city departments, employees, and outside contractors.

MINIMUM QUALIFICATIONS:

Knowledge, Skills and Abilities Required:

Knowledgeable enough of office procedures to be used as a resource by other staff members.

Knowledge of modern office methods, practices, and equipment.

Knowledge of basic accounting.

Knowledge of planning, organizing, and evaluation programs.

Skill in using a PC, financial system, spreadsheet, and work processing software.

Skill in communicating with city employees and contractors by both oral and written means.

Skill in identifying and resolving contractors and department problems. Skill in recording and organizing data.

Skill in alpha and numeric filing.

Skill in composing and editing correspondences.

Ability to perform a variety of physical skills, including but not limited to, seeing, sorting, typing, and writing.

Ability to operate a variety of office equipment, including but not limited to, PC, various computer software, copiers, telephone, fax machines, and calculator. Ability to work independently with minimal supervision.

Ability to operate a motorized vehicle.

Qualifying Education and Experience:

Associates degree. 2-3 years clerical office experience, or any equivalent combination of education and/or experience.

Possession of a valid Texas Operator's, Class C, License, with good driving record.
