JOB DESCRIPTION SUMMARY

ESSENTIAL POSITION FUNCTIONS:

  • Reviews and maintains the graduation application process to include evaluating student records and program plans, verifying degree requirements, confirming degree completion, and assisting with Graduation Database needs.
  • Leads and coordinates training for Registrar’s Office staff on graduation processing, degree audits, transcript workflows, and related procedures.
  • Manages the Degree Audit System including catalog rollovers, monitoring curricular changes, testing system upgrades, researching new functionality, and providing training to users.
  • Assists with the transfer credit process as needed, including reviewing transcripts, posting credits, and maintaining the Transfer Evaluation System.
  • Supports the review and processing of reverse transfer degrees and communication with reverse transfer partners.
  • Oversees and assists with obtaining course descriptions and syllabi from other institutions when required.
  • Processes grade changes, assists with grade resolutions, and supports quarterly grade processing.
  • Processes work experience and academic certification posting.
  • Assists with preparation and execution of the annual graduation ceremony.
  • Serves as Webmaster for departmental pages and SharePoint content.
  • Assists with grade-related forms such as Academic Amnesty and audits.
  • Participates in special projects assigned by the Associate Registrar and Registrar.
  • Consistently attends work, activities, and assigned functions.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Experience using a Student Information System, especially Colleague.
  • Experience building and maintaining degree audits within Colleague.
  • Experience using a document imaging system.
  • Experience working with databases and Microsoft Access.
  • Strong computer skills with Microsoft Office and related applications.
  • Strong planning and organizational skills with attention to detail, accurate analysis, decision-making ability, and the capacity to work independently.
  • Ability to initiate projects and complete them.
  • Ability to maintain confidential information.
  • Strong written and oral communication skills, including spelling, grammar, and editing.
  • Ability to maintain professionalism, patience and cooperation in fast-paced or stressful situations.
  • Troubleshooting and problem-solving skills.
  • Ability to work with a wide variety of clients and colleagues.

MINIMUM QUALIFICATIONS FOR EDUCATION AND EXPERIENCE:

  • Bachelor’s degree.
  • Proficient experience with Microsoft Office products, including SharePoint required.
  • Experience working with highly detailed or confidential information required.
  • Three (3) years of full-time work-related experience in a Records office, preferably at a post-secondary institution.
  • Equivalent combination of education and/or work experience considered.
  • Must pass a background check.
