Under general supervision, provides complex administrative support to an individual, office, department or program. Work requires comprehensive knowledge of the organization or program where assigned, skill in working with issues related to policy, procedures, and confidential matters, and involves considerable participation in the work of the supervisor. Frostburg State University (FSU), is accepting applications for a full-time, non-exempt Administrative Assistant II position for the College of Humanities, Arts & Sciences Communication and Literature department. Hourly rate $22.41/hour and includes the robust University System of Maryland benefits package, which is comprised of annual, personal, and sick leave, holidays, tuition remission, health, dental, vision, and life insurance, and retirement plans.
Responsibilities: Provide administrative support for department chair, faculty, and adjuncts for Communication and Literature and Center for Literary Arts, including but not limited to: maintaining course and room scheduling, run queries, and onboarding new adjuncts and faculty. Perform general clerical duties, e.g. compile reports, prepare forms, file, data entry, maintain electronic files. Submit work order requests for maintenance, technical, telephone, and events. Enter semester schedules into PAWS and reserve rooms for on campus meetings or events. Maintain and monitor budgets and project grants for Communication and Literature, Center for Literary Arts, including but not limited to; utilize ProCard to purchase all daily supplies as needed and prepare monthly ProCard reports, and order equipment as needed for classrooms/labs.
Minimum Qualifications: High School Diploma or GED 3 years of experience providing administrative support.
Preferred Qualifications: Must be proficient in Excel, Microsoft Office, Calendaring Software, Word Processing and other applications relevant to an administrative support position
Required Knowledge/Skills/Abilities: General knowledge of and skill in the practical application of generally accepted office practices and procedures. Ability to communicate effective both orally and in writing. Ability to proofread and edit written documents. Skill in various computer software packages, such as word processing, spreadsheets, database, and presentation programs, Internet, email and calendaring software. Ability to understand and follow oral and written instructions. Ability to interact effectively with internal and external parties in a courteous and efficient manner. Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.
Other: Except for qualifications established by law, additional related experience, and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
