Position Summary: The Administrative Assistant for the Thayer School of Education supports all departments of the school including department chairs and director, faculty and staff, and students. Overall responsibility includes ensuring efficient and effective office operations and providing excellent customer service.
Essential Duties and Responsibilities
Maintain regular office hours in accordance with University policy.
Assist program leadership as needed with projects and overall running of the departments.
Maintain stock and order supplies for the school.
Maintain billing/invoices, expense reimbursements, and reporting.
Assist programs/committees in organizing events to include planning, reservations, invitations, caterings, and on-site availability during the event, when applicable.
Assist with necessary HR/onboarding steps, documents, and orientation schedules for faculty and staff.
Lead and guide the work of student employees.
Perform other duties as assigned by leadership (e.g., assist with recruitment, admission, and enrollment of students; maintain spreadsheets in the database; assist with managing the website; create marketing and program materials; assist with completing federal and state accountability reports, etc.)
Qualifications and Experience
Associate’s Degree, preferable in a field related to administrative or academic administration, but will consider documented equivalent work experience.
2 – 3 years of administrative experience in higher education preferred.
Working knowledge of MS Office Suite and Google Workspace.
Strong organizational planning skills, excellent verbal and written communication skills, and ability to maintain confidentiality required.
Other required attributes: time management, ability to prioritize, ability to multitask, detail-oriented, resilient, flexible, and the ability to work with multiple ages and personalities.
