Job Description Summary

The Office Tech IV provides comprehensive administrative, financial, and operational support to the Weld County CSU Extension Office and County Fair teams. This role includes bookkeeping, budget monitoring, office operations, database management, and assisting with a variety of Extension program activities. The Office Tech IV may mentor other office staff on occasion and assists with coordinator for the activities of a customer service or administrative support function. This role does not exercise direct and/or indirect supervision of other administrative personnel but may exercise supervision over temporary staff.

Job Description

What you will do

Administrative Support - 60%

  • Create, develop, and maintain databases, spreadsheets, and reports related to Extension programs.
  • Maintain and update fair-related software to ensure smooth operation of fair-related data management.
  • Prepare information and documentation on Extension programs, ensuring clear and timely communication of program details.
  • Represent the Extension Director in meetings as needed, conveying key information and ensuring their views are represented.
  • Prepare and process correspondence for agents on Extension programs.
  • Oversee and coordinate successful operations of customer service at the front desk and provides overall administrative support for all department staff.
  • Provide customer service by offering general information and addressing specific inquiries.
  • Interpret County and departmental policies, rules, and regulations in response to questions.
  • Conduct research as needed and direct more complex issues or requests for further interpretation to the appropriate personnel.
  • Regularly review employee timecards in Workday to ensure accurate recording of work hours; approve or reject timecards based on accuracy and adherence to company policies.
  • Assist with onboarding and offboarding processes for personnel, including preparing necessary training materials, ensuring proper system access, and facilitating the return of company property during offboarding.
  • Serve as the primary point of contact and lead for the office, ensuring accurate adherence to County policies, procedures, and processes related to administrative functions, including those within Human Resources, Information Technology, the Board of County Commissioners, and other departments.

Budget Administration - 40%

  • Perform bookkeeping duties in support of Extension agents and program staff.
  • Track and record fees or funds received from other departments; manage and maintain departmental expense accounts.
  • Submit online vouchers for payment, prepare supply orders, invoices, and monitor budget accounts and requisitions while adhering to budgetary guidelines.
  • Perform advanced bookkeeping and accounting tasks, including posting and verifying disbursements, and preparing detailed monthly and year-end financial reports for analysis and review.
  • Manage the collection and accounting of fees and funds associated with the Weld County Fair; assist the Fair Treasurer with preparing financial reports for the fair.
  • Review and approve departmental expenses, ensuring compliance with budgetary guidelines and proper documentation for all transactions.
  • Assist in budget preparation by compiling data, reviewing past expenditures, forecasting future costs, and entering the budget into the system for the upcoming year.

Required Qualifications

Required Education

  • High School Diploma/GED


Experience Qualifications

  • 3 years of experience in an increasingly responsible position in an office setting.


Preferred Education

  • Associate's Degree


Skills and Abilities

  • Experience in bookkeeping, financial management, or administrative support.
  • Strong proficiency with office software (Word, Excel, PowerPoint)
  • Experience with financial systems and databases.
  • Excellent attention to detail and organizational skills.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Knowledge of Extension programs is desirable.
  • Candidate must pass criminal background check prior to employment start date.


This position is non-exempt from the minimum wage and overtime requirements of the Fair Labor Standards Act and is therefore eligible for overtime pay.
