Job Description
The Maintenance Manager (Auxiliary/TBB) is responsible for overseeing all maintenance functions for The Biltmore Building (TBB) and the Oval Road Warehouse. This role includes supervising staff in performing building and equipment repairs; minor plumbing, electrical, HVAC, and carpentry work; painting; preventive maintenance; security systems and access control; and ensuring the overall upkeep, functionality, and safety of facilities.
The Maintenance Manager reports directly to the Building Manager and serves as team lead for Auxiliary/TBB Engineering staff. They oversee daily and weekly maintenance activities, ensure the implementation of safety and security protocols, and assist in managing building-related expenses. The Manager will coordinate closely with the Building Manager and Operations Attendant to maintain clear and consistent communication on all maintenance activities.
Essential Job Duties
1. Establish, prioritize, and delegate maintenance work to ensure buildings are clean, operational, and welcoming.
2. Schedule and track all maintenance tasks using MaintainX (or current CMMS), building routine and preventive maintenance workflows in addition to tenant and employee requests.
3. Serve as team lead for auxiliary engineering staff, setting work standards and ensuring work quality, as well as maintaining a positive work environment and team culture.
4. Develop and document maintenance SOPs within MaintainX.
5. Conduct daily walkthroughs of buildings and equipment to verify proper function and identify potential issues.
6. Assist the Manager in planning and controlling building operating expenses.
7. Oversee and coordinate work performed by contractors.
Additional Responsibilities
1. Delegate and oversee workload to maintenance team through use of the work order system.
2. Ensure required yearly training for staff is kept up to date. Encourage staff to seek additional training and certifications.
3. Reinforce all safety standards and training for the department.
4. Responsible for accurate and timely Kronos timekeeping for auxiliary engineering staff.
5. Support cleanup efforts during emergencies and weather events.
6. The position has a regular weekly schedule and does require availability for 24/7 support as needed.
7. Assist in identifying process improvements and cost savings opportunities.
8. Aid in identifying energy and water conservation opportunities.
9. Schedule and provide operations desk coverage as needed.
10. Schedule and oversee regular building cleaning schedule with vendors.
Qualifications
1. High school diploma required. Additional education, training, and/or certification(s) strongly preferred.
2. At least two (2) years of related experience in facility maintenance with some experience in leading or supervising staff and contractors. Ideal candidate 4+ years of experience with building systems management for historic and/or commercial structures as well as managing multiple geographical locations. Knowledge of carpentry, electrical, HVAC, and other building systems. Must be able to read and interpret blueprints and building plans.
3. Demonstrated commitment to delivering world class internal/external guest service and proven leadership skills; ability to build, motivate, and develop teams.
4. Basic math and computer skills required. Must be able to manage work order systems, and have knowledge of MS Word, Excel, and Outlook.
5. Excellent interpersonal and written/verbal communication skills; able to convey information clearly, concisely, and effectively to a range of audiences.
6. Strong planning, project management including capital, and organizational skills; able to prioritize work and adapt; keen attention to detail with focus on quality and service.
7. Proactive, exercises good judgment; can problem solve and troubleshoot.
Physical Requirements
1. Ability to stand, walk, and move between multiple areas of the property throughout the day.
2. Frequently bend, kneel, climb, reach, push, and pull while performing maintenance tasks.
3. Safely lift, carry, and move materials and equipment weighing up to 50 pounds.
4. Comfortable working on ladders, lifts, or elevated platforms up to 40 feet.
5. Able to work both indoors and outdoors in varying temperatures and weather conditions.
6. Tolerate exposure to dust, noise, cleaning agents, and other environmental factors related to building maintenance.
7. Maintain manual dexterity and hand-eye coordination to operate tools, equipment, and computer systems.
