Reporting to the Office of Sponsored Programs, this position will support post-award management.

About the Institution

UMCES is Maryland’s graduate university for the environment and one of the twelve institutions of the University System of Maryland (USM). Maryland’s people and environments are diverse, including urban-to-rural and mountains-to-sea gradients. The UMCES mission includes advancing world-class fundamental and applied research, promoting graduate-level education, furthering community engagement and science application, and providing scientific expertise for environmental policies on topics such as air, land, water, and wildlife management in the Chesapeake Bay watershed and beyond. UMCES scientists are developing solutions to help guide our state, nation, and world toward a more environmentally sustainable and equitable future through six highly collaborative, distributed research centers—Appalachian Laboratory, Chesapeake Biological Laboratory, Horn Point Laboratory, Institute of Marine and Environmental Technology, Integration and Application Network, and Maryland Sea Grant College. AL is the terrestrial and freshwater anchor of research at UMCES, and collaborations across disciplines and geographies are common among UMCES faculty. As a comparatively small, independent research and education university within a sizable, highly respected public higher education system, UMCES has both flexibility and excellent institutional support to continue to play an outsized role in environmental research, education, and problem-solving. 

The selected candidate will be required to review and accept the UMCES Principles of Conduct.

Primary Duties

      Assist faculty/staff with post-award management and administration of sponsored projects, including:

○Review and set up of awards in grants management system, Kuali Research, and financial system of record, Workday

○ Prepare and execute award modifications in grants management system and financial system of record (no-cost extensions, budget reallocations, additional funding, deobligations

      Perform monthly award financial reconciliations and monitor award activity in Kuali Research and Workday 

      Compile and complete external reporting as required for stakeholders and sponsors

      General administrative responsibilities (calendar management, meetings, communications as needed)

      Additional projects as required and needed

MINIMUM QUALIFICATIONS:

      Education: Bachelor’s degree
 

      Experience: Two years of administrative or sponsored research support experience preferred.

KNOWLEDGE, SKILLS, ABILITIES:

      Strong organizational skills, attention to detail, and a collaborative mindset.

      Excellent communication skills and ability to work independently and as part of a team.

      Other: Familiarity with grant and contract administration and common research systems (Kuali, Workday) a plus.

Working environment is a standard office. Ability to read, write, type, hear with or without accommodations required. Ability to infrequently lift up to 20 pounds (file boxes) necessary.

Minimum Qualifications

Education: Bachelor’s degree from an accredited college or university.

Experience: One (1) year of professional administrative or coordinator experience.

Other: Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education.

Knowledge of best practices in organization, administration, and customer service.

Knowledge of proper protocol in dealing with confidential information.

Skill in oral and written communication.

Skill in the use of Microsoft Office and Google Workspace (Docs, Sheets, Slides, Forms, etc.)

Ability to interpret and apply policies, procedures, regulations, and laws.

Ability to multitask while demonstrating a commitment to customer service.
