POSITION SUMMARY:

Under the supervision of the Director of Surgical Services, the Scheduling & Procedural Efficiency Supervisor manages the scheduling and Block utilization efficiency in Surgery Services. Responsible for the day-to-day scheduling and procedural block utilization and efficiency. Act as the key Surgical Services contact for coordinating the EPIC OpTime scheduling module and reporting system and including development and execution of system expansions and upgrades through interaction with the EPIC OpTime Analysist, Information Services, Surgery and Procedural Area leadership, departmental staff, and surgeons. The role includes having a working knowledge of the OpTime scheduling module and reporting system, of surgical services procedural area Block utilization, reporting, and procedural efficiency.  The Scheduling & Procedural Efficiency Supervisor will take the lead and act as the primary support contact for the Epic OpTime module application including collaborating and coordinating issues with the EPIC OpTime Analysist and Information Services on issues that arise in their area of responsibility. Including establishing departmental reports, maintaining departmental databases, conducting system utilization audits, and training end users. They will perform workflow analysis, data collection and report issues associated with the EPIC software.  The Scheduling & Procedural Efficiency Supervisor will participate in the creation of test plans and testing of application changes and upgrades. As directed, lead new projects, including new builds, renovations, or additions. The project lead's responsibilities include managing the timeline, giving presentations, data mining and preparations, providing updates, and working directly with leadership, clinical staff, and providers to optimize the integration and completion of designated projects.

EDUCATION / TRAINING / EXPERIENCE:

Minimum:

  • Two Years clerical Experience
  • One-year experience utilizing word processing, spreadsheet program, presentation program, database report functions and electronic calendar
  • Enrolled in a bachelor’s program or has a bachelor’s degree in any field OR has Information Technology experience OR has experience in a healthcare related field.

Desired:

  • Project management or experience with leading projects in a healthcare environment.
  • Three years’ experience in finance, business analysis, information technology, healthcare, or related field
  • One-year experience in Human Resources, Compensation, Information Systems or Data Analysis
  • Understanding of Epic or other hospital applications
  • Supervisory experience
  • Experience with relational databases
  • Prior information systems experience, including system installations/upgrades, analysis & support of clinical or business information systems, workflow development.
  • Understanding of procedures and clinical service lines.  Familiar with industry standards related to best practice and associated metrics that drive efficiency.  Process mapping, workflow design, and project management skills
  • Advanced excel skills and data management
  • One-year of EPIC Analyst experience
  • Experience with scheduling in a medical environment
  • Training in decision support, databases, spreadsheet, report writer
  • Basic Anatomy

The candidate must have excellent written and verbal communication skills.  Must possess analytical skills necessary to gather and interpret quantitative and qualitative data relevant to the role and responsibilities. The ability to coordinate with Information Services the identification and definition of system problems.  Must have the ability to apply supervisory principles and techniques, exhibit good problem-solving skills, and promote a positive team-building atmosphere.  Ability to train and effectively communicate information to system users.  Interpersonal skills necessary to work collaboratively, discuss, influence, and obtain approvals with all levels of the organization, including physicians.  Demonstrates organizational, multi-tasking and problem-solving skills.  Must be able to follow instructions, work quickly and accurately in a fast-paced environment.  Analytical and grammatical skills are necessary to communicate effectively, verbally and in writing. Must be able to fulfill the essential functions of the position.  Develop an understanding of the organization and the EPIC OpTime scheduling module and reporting system. The ability to lead projects, meetings, prioritize and maintain issues lists and manage the scheduling and block utilization efficiency in the procedural area is necessary.  Must be able to apply logic to the analysis, development and implementation of complex workflow and information system solutions and be able to successfully implement these solutions in assigned area. Organizational and multi-tasking skills are essential for working in a complex and varied work environment. Conflict management skills are necessary to resolve conflicts within and among departments and disciplines throughout the Organization and with physicians.  Change management skills are necessary to lead and or support implementations that will result in significant changes to workflow process for staff, associates, physicians, and physicians’ office staff in Surgery Services.  Knowledge of operations and regulatory requirements pertaining to assigned areas of responsibility.
