As the Administrative Assistant, the position requires organization, motivation, strong communication, customer service skills, and a positive attitude. The Admin. Assistant is the first point of contact for our clients, advisors, and visitors, and provides general office support with a wide variety of administrative duties and related tasks. The candidate will have the ability to prioritize multiple tasks, handle tasks thoroughly and expeditiously, be proactive and follow through on projects to successful completion, often with deadline pressures.
Your Impact:
- Arrive at the office no later than 9:00AM Monday-Friday to open two Suites.
- Manage phone calls and voicemails with a moderate call volume.
- Take accurate and detailed messages for various personnel.
- Greet and direct visitors with a welcoming and friendly personality.
- Prepare and send out mailings.
- Receive, sort, and forward incoming mail accordingly.
- Coordinate the return/pick-up services with vendors such as USPS, FedEx, UPS.
- Occasionally make drop-offs at post office or drop-box location using personal vehicle (comp. milage).
- Maintain inventory of office and kitchen supplies.
- Maintain the cleanliness and organization of the kitchen, refrigerator, snack cabinet, and conference rooms for two Suites.
- Order and set up breakfast/lunch for internal meetings when needed.
- Occasionally Pick-Up food orders using personal vehicle (comp. milage).
- Maintain the clean and organized appearance of two suites including holiday/seasonal decorations.
- Work directly with the Operations Manager to maintain the day-to-day operations of the office.
- Work with Operations Manager on assigned projects, document preparation & tracking, etc.
- Willingness to work occasional overtime if needed during peak business times (primarily December).
- Complete a variety of additional administrative/assistance tasks for various personnel and departments as requested.

- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- A team player who is willing to be flexible and adapt to change, help coworkers, and take on new tasks.
- Proficient in Microsoft Office 365.
- Very strong interpersonal skills and the ability to build relationships.
- Expert level written and verbal communication skills.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response.
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced, goal-oriented environment.
- Forward thinker, who actively seeks opportunities for improvement and proposes solutions.
