Summary

Position Summary:

The Facilities Specialist reports to the Manager of Facilities Maintenance and plays a key role in supporting and assisting all aspects of the daily operations of the Irwindale Office Center (IOC), while also contributing to the company’s Facilities Management (FM) department as needed. This position is accountable for ensuring the facility is maintained efficiently, safely, and in alignment with company standards for a high-quality employee environment.

The ideal candidate will be highly organized, proactive, and capable of coordinating multiple tasks and vendor activities while providing excellent service to all IOC staff and management. The Facilities Specialist will make routine building and employee care decisions independently, while escalating major issues to the Manager of Facilities Maintenance. They will coordinate and communicate effectively with staff, vendors, and stakeholders, including occasional interactions with management and suppliers. Though based at the IOC building, the Facilities Specialist will assist with Facilities Maintenance tasks at other Athens locations across Southern California as needed.

Job Description

Essential Job Functions:

Facility & Operations Management

  • Exert a “sense of ownership” over the branding, cleanliness, functionality, layout, operating efficiency, safety, and tenant enjoyment of the Irwindale Office Center (IOC) and other Athens facilities (TBD)
  • Coordinate, schedule, and oversee vendors performing preventive maintenance, inspections, and repairs for the IOC building.
  • Assign and monitor daily tasks for the janitorial and maintenance team to ensure timely completion of work orders.
  • Serve as the main point of contact for IOC staff and management regarding facility-related requests, repairs, or special projects.
  • Monitor and maintain HVAC system controls to support proper building temperature and energy efficiency, coordinating with vendors as needed.

Project & Budget Support

  • Assist the Manager of Facilities Maintenance with facility operations and projects at other company locations as needed.
  • Oversee and support capital improvement work.
  • Assist in developing recommendations and cost estimates for prioritized capital improvements.
  • Help manage building performance within the approved annual operating budget.

Administrative & Compliance Support

  • Maintain facility-related records, including maintenance logs, service contracts, vendor communications, and building permits.
  • Support the Manager of Facilities Maintenance with processing and entering invoices into Workday for approval and payment.
  • Ensure compliance with safety standards and company policies in all facility operations.
  • Provide general administrative support for the Facilities Department as required.

Required Qualifications:

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • 2+ years of experience in facilities coordination, building maintenance, or related field—multi-site experience is a plus.
  • Strong organizational, multitasking, and problem-solving skills.
  • Basic knowledge of HVAC systems, building operations, and maintenance procedures.
  • Proficiency in Microsoft Office (Outlook, Word, Excel); experience with Workday or similar ERP systems preferred.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Excellent communication and interpersonal skills.

Hourly: $25.00 - $39.00/hour
