Job Description:

Position Summary

The Facilities Specialist provides high-level support to field teams and Facilities leadership by helping resolve escalated maintenance issues, supporting inspections and vendor compliance, and ensuring facility-related requests continue moving forward when challenges arise.

This role is not responsible for managing daily store operations. Instead, it acts as a support and execution partner—tracking issues through resolution, coordinating with vendors, supporting systems and processes, and assisting with project-related follow-up. The Facilities Specialist works closely with the Facilities & Capital Project Manager to collaborate on next steps, execution strategies, and process improvements.

This role supports facilities leadership and field teams through execution, coordination, and follow-through; decision-making authority remains with Facilities leadership.

Key Responsibilities

Field Support & Issue Tracking

  • Support field teams when maintenance requests, inspections, or vendor-related issues cannot be resolved at the store level.
  • Track escalated issues and follow through until resolution, ensuring clear communication and accountability.
  • Collaborate closely with Facilities leadership to determine next steps when issues require additional coordination or oversight.
  • Provide updates and documentation to support visibility and alignment across teams.

CMMS Support & Continuous Improvement

  • Serve as a support resource for questions or issues related to the computerized maintenance management system (CMMS).
  • Assist users with navigating workflows, troubleshooting issues, and understanding system processes.
  • Partner with Facilities leadership to help carry out CMMS changes, updates, and improvements.
  • Support testing, implementation, and rollout of CMMS enhancements as directed.
  • Help maintain accurate work order documentation and data integrity within the system.

Vendor Coordination & Compliance Support

  • Assist with vendor communication when questions or concerns arise that the field team is unable to support independently.
  • Help track vendor responsiveness, compliance, and execution.
  • Support resolution of vendor-related issues in collaboration with Facilities leadership.
  • Ensure vendors are aligned with expectations related to communication, documentation, and scope execution.

  • Preventive Maintenance Program Support
  • Assist with the development, tracking, and refinement of preventive maintenance programs.
  • Help identify trends, recurring issues, and opportunities to reduce reactive maintenance.
  • Support implementation and follow-up of preventive maintenance initiatives.

Capital Project & Program Support

  • Support Facilities leadership with tracking and coordination of large-scale field capital projects.
  • Assist with managing day-to-day project-related questions from the field.
  • Help track project phases, schedules, documentation, and vendor coordination.
  • Act as a support resource to keep projects organized and moving forward under the direction of the Facilities & Capital Project Manager.

Qualifications

  • 3–5 years of experience in facilities support, maintenance coordination, property operations, or a related role.
  • Experience supporting multi-site retail or commercial facilities.
  • Experience working with vendors and contractors.
  • Working knowledge of CMMS or work order management systems.
  • Strong organizational skills with the ability to manage multiple open issues simultaneously.
  • Strong communication skills and a collaborative working style.

Preferred

  • Experience supporting or coordinating large-scale or multi-phase projects.
  • Experience assisting with preventive maintenance programs.
  • Familiarity with CMMS configuration or workflow improvements.
  • Bilingual (English/Spanish) a plus
