JOB RESPONSIBILITIES
Facilities/Operations- Direct and coordinate the daily operations of the dept./facility in collaboration with leadership. Establish and monitor business processes. Identify opportunities for improving cost and quality through in-depth analysis. Develop and implement policies and procedures for improved utilization, quality and operations. Ensure operations are efficient and cost effective. Resolve issues re: staffing, utilization of facilities and equipment. Develop and interpret policies and procedures for staff and ensure that all policies conform with guidelines. Ensure compliance with all regulatory requirements. Promote programmatic development, efficient work and patient flow, supply and instrument management, and a safe culture and environment. Coordinate/manage facilities-related projects, monitor timelines for completion and provide direction for staff and vendors. May manage purchase or repair maintenance of facility equipment. Manage, allocate and coordinate space to meet the operational and strategic goals of the division and the needs of the individual program areas. Collaborate with IT and design to ensure proper placement of items in clinical areas. Assist with area commissioning and decommissioning process.
Accreditation/ Regulatory/Compliance- May define process and manage invention reporting required for federal and private compliance. Update Standard Operating Procedures (SOPs) as required when regulation and system changes dictate. Collaborate to capture revenue distribution models for executed agreements to ensure that financials are distributed in compliance with the CCHMC policy. Identify opportunities on an ongoing basis to improve compliance with agreement obligations, including milestones, reporting, and invoicing.
Financial/Budget- Participate in the development, implementation, evaluation and management of capital budgets. Assist with/support annual operating budgets. Implement and/or maintain a process for financial controls. Analyze and monitor financial performance and report financial results to stakeholders; evaluate variances, determine underlying causes and identify, present, and implement proposed solutions. Integrate the financial management and decision making across the department/division; establish and monitor productivity metrics. Accountable for compliance with organizational financial policies and procedures. Provide oversight in revenue cycle management, including: optimizing revenue, ensuring complete and accurate billing, monitoring associated charge capture; creating competitive pricing, developing/expanding programs; and monthly revenue reporting. Assist with fiscal responsibilities of the department as requested. Track revenue, expense, and allocations. May work with vendors regarding functionality needs, coordinate implementation of new software and upgrades with IS, update processes and communicate changes to department and other stakeholders. May analyze, test and implement existing or new vendor software solutions that fulfill business needs or improve existing processes.
Process/Quality Improvement- Identify, develop, and implement new methods, processes, and systems to improve and facilitate the team's work. Identify ways to improve data quality and usability and to streamline and enhance reporting processes and/or deliverables. Identify and recommend procedures to enhance or maintain a high level of effectiveness in daily operations.
Project Mgt- Coordinate assigned projects including collaborating on project plans, budgets, and resource requirements. Track progress and prepare internal reports. Prepare documents to support project management and reporting. Prepare and distribute project communication to internal and external clients. Identify system and technology needs and act as liaison to ensure appropriate systems and reporting are maintained in support of project requirements. May provide some administrative support such as arranging meetings, developing agendas, preparing meeting materials, taking meeting minutes and preparing progress reports.
