Job Description Summary
The Office of the Registrar is available to support students with various record-related services, such as transcript requests, transcript evaluations, guidance on course registration and grading policies, reviewing, and completing petitions and appeals, conducting residency reclassifications, and assisting students in completing graduation applications. Additionally, the Office of the Registrar houses student academic records and completes enrollment verifications, disseminates information on FERPA, and maintains the integrity of all student record functions.Job Description
Responsibilities and Duties Could Include:
As part of a team of Assistant Registrars, performs specific functions related to the areas of petitions, residency, and appeals.
Receives, reviews, and processes petitions to adjust records, residency reclassification petitions, appeals, and disciplinary disclosure forms for the Disciplinary Review Panel.
Supervises and manages staff in the areas of petitions, appeals, and residency to ensure work product is appropriate and timely
Exercises independent judgment in addressing the daily concerns of staff, students, and faculty according to the areas of petitions, appeals, residency, and disciplinary review.
Observes and evaluates operations, procedures, and activities related to petitions, appeals, residency, and disciplinary review and recommends improvements or modifications as needed to maintain proper daily function.
Actively participates in the design, implementation, and development of technology related applications that enhance services within specific areas of petitions, appeals, residency, and disciplinary review, identifying and troubleshooting IT system related issues that may impact student records.
Gathers and maintains student records regarding petitions, appeals, residency, and disciplinary reviews, maintaining them in compliance with federal and state regulations and college policies and practices.
Maintains essential and required data related to petitions, appeals, and residency providing written monthly reports to the Associate Registrar.
Assists both the Associate Registrar and Registrar in maintaining the integrity of all student record functions including, but not limited to, registration, grade processing, graduation, and transcript processing.
Assists college staff and faculty in regard to petitions, appeals, residency, and disciplinary review as needed.
Maintains productive relationship and aids in a variety of customer service and advisement functions to students, internal departments, external agencies, and community members.
Regularly collaborates with various internal constituents, including Financial Aid, Institutional Research, and other student related areas as needed and required.
Serves as the liaison to internal and external stakeholders for questions, concerns, or general information related to petitions, appeals, residency, and disciplinary review.
Complies with all published College Rules, procedures, guidelines, and laws/regulations governing public employees, including but not limited to those related to document retention and destruction, FERPA, and confidentiality.
Provides service excellence through courteous, informed, accessible, and professional engagement.
Performs other duties as assigned.
QUALIFICATIONS
Required: An Associate degree in areas of education, business, or a related field with four (4) years of related work experience or a combination of completed education and/or work experience equal to six (6) years. Must have the ability to work a flexible schedule, especially during peak service periods for students.
Additional Requirements: A criminal background check will be conducted.
Preferred: A bachelor’s degree in areas of education, business, or a related field with experience in an educational environment that includes secondary and post-secondary student records, admissions, registration, confidentiality, and records management. Working knowledge of state and federal policies and statutes regarding residency, academic records, and governing board rules. Prior supervisory experience.
