Job Summary: The IT Asset Management Coordinator manages fulfilment requests, procurement activities, disposal, reconciliation, shipping and receiving for IT hardware and software assets within the Information Technology department. The coordinator is a key resource in managing IT assets throughout their lifecycle by utilizing vendors and the asset management system.
Minimum Education: High School Diploma or GED.
Licensure, Registration and/or Certification: None.
Work Experience: Minimum 1 year related experience. 4 years, preferred.
Knowledge, Skills and Abilities: Excellent communication skills, both written and verbal that present clear and concise information. Proficient PC skills as required for inventory transactions, data entry, selecting and executing reports and analyzing data. Demonstrated effective interpersonal, oral and written communication skills. Demonstrated ability to organize and prioritize work in an effective and efficient manner.
Essential Functions and Responsibilities: Coordinates and performs centralized purchasing functions including but not limited to ordering, receiving, tagging, recording and organizing storage for IT hardware, software and consumable assets. Conducts IT hardware and software inventory reconciliation processes to maintain appropriate inventory stock levels and accuracy of the IT asset data repository. Coordinates proper disposal of obsolete IT assets, authorized return or repair of IT assets including but not limited to: cleaning, packing, tracking, shipping, and receiving of IT assets destined or returned from various locations. Maintains associated vendor relationships to assure best price and delivery. Works with SFHS Purchasing Department and Accounting Department for Information Services standard product purchases. Provides vendor and logistic support for office set-ups and/or moves. Performs purchase order receipt, verification, transport, inventory control, order and invoice reconciliation on associated IT purchases. Coordinates ordering of server and workstation software licenses and works with appropriate Technical groups to maintain compliance. Maintains logs and tracks all multi-line projects to ensure purchase is within scope of project. Monitors, updates, and reports on assigned IT tickets.
Decision Making: Independent judgment in making minor decisions where alternatives are limited and standard policies/protocols have been established.
Working Relationships:
Coordinates activities of others (does not supervise).
Works with other healthcare professionals and staff.
Works frequently with individuals at Director level or above.
