Job Summary

The University of Chicago Law School is seeking an Assistant Registrar. The individual in this position reports to the Law School’s Registrar and Assistant Dean of Students and provides front office assistance and support to students, faculty, and staff in a dynamic, high-volume student academic services department.

Responsibilities

  • Responsible for processes related to student accommodations implementation and tracking as well as quarterly final exam administration.
  • Supports course evaluations, grade reporting, graduation tracking and ceremonies.
  • Fulfills requests for academic records/forms/letters/transcripts, and processes enrollment and continuing legal education certifications.
  • Coordinates bar certifications and tracking.
  • Supports classroom reservations and make-up class scheduling.
  • Performs audits of student/course data; and images files to student and course records.
  • Prepares student and course databases in support of registration audits and processing.
  • Processes and tracks student petitions; and ensures the maintenance of accurate records in all areas.
  • Processes and tracks registration waitlists and petitions, and related communications.
  • Supports the Registrar’s Office with projects related to compiling and verifying student and course data, degree audits and certification, and data analysis.  
  • Acts as Graduation Co-Coordinator.
  • Validates enrollment records in the student information system. Contributes to the creation of the course schedule and the assignment of classrooms.
  • Acts as a resource for student/faculty/staff and answers questions in person, by phone, and via email regarding processes, policies, or errors on enrollment, grading, scheduling, degrees, etc.
  • Performs other related work as needed.


Minimum Qualifications

Education:

Minimum requirements include a college or university degree in related field.


Work Experience:

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Preferred Qualifications

Education:

  • Bachelor’s degree in related field.

Experience:

  • Minimum two years of experience in an administrative role strongly preferred.
  • Prior experience in an academic department and working with faculty and students.
  • Background handling confidential data, experience with student records.  

Technical Skills or Knowledge:

  • Learn new processes and procedures in various systems, including student databases like PeopleSoft, seating chart software, and similar programs. 
  • Excel assessment test.

  • Excellent written and verbal communications skills.
  • Strong organizational, multitasking and follow-through skills; attention to detail.

  • Learn skills quickly, take initiative, and work independently to solve problems.
