Under the direct supervision of the Property Manager, is responsible for processing all incoming and outgoing mail. Perform miscellaneous clerical duties as assigned. Sort, open and distribute all incoming mail. Prepare all incoming checks for validation. Affix postage and bundle outgoing mail and place in mail containers. Order and recommend requisitioning of office supplies. Maintain and stock office supplies. Key operator for copy machines, fax machine and letter folder/inserter machine. May take mail to and from Post Office. Assist Property Manager with support staff duties as needed. Assist employees with uniform and fleet management questions and other needs as applicable.

JOB DUTIES:
Process all incoming and outgoing mail, including coordination of postage and mail machinery. Open and route general mail.
Validation of all incoming revenue received through mail services – stamp checks as received, code as appropriate, reconcile totals and deliver to cashier.
Maintain process and route claims, warrants, purchase orders, change orders, permits, etc., as indicated by the nature of work of the Property Division.
Maintain a standard P-card and make routine purchases for section according to OK State law.
Assist with issuing, ordering and processing clothing and safety uniform purchases.
Maintain a basic supply of first aid materials for the central office.
Process and manage billing accounts such as FedEx, UPS, Xerox, Comdata, OG&E, ONG, etc..
Assist with Comdata cards including processing overrides, canceling and ordering new vehicle cards.
Order and maintain an inventory of office supplies for headquarters, including copier paper for five machines.
Assist with surplus property auction by scanning equipment titles and answering questions related to the auction.
Responsible for data entry and reconciling of vehicle reports for all divisions in ODWC vehicle application and composing the Monthly Fleet Report.
May be responsible for taking cash and check deposits to the bank.
Assist the Property Manager in maintenance of the Department inventory in the PeopleSoft Asset Management system. Duties include processing asset entries, transfers, deletions, and corrections. Respond to Department staff inquiries regarding assets.
Responsible for coordinating use of the large first floor meeting room for both internal and external parties (receive applications, route for approval, schedule, ensure facility use agreement is signed, and relay user requirements to other agency staff).
Respond to staff emails and phone calls regarding Property Section.
Other duties as assigned.
Must have the ability to:
Lift and carry standard office equipment and supplies up to 40 pounds and operate a vehicle.
Establish and maintain effective working relationships, work independently, and be professional and courteous with the public, employees, and other agencies.
Communicate clearly and effectively in public speaking situations and be able to express oneself clearly and concisely in writing.
Use personal computer and various office equipment. Should be proficient in Microsoft Word, Excel, PowerPoint, and have an overall understanding of internet-based computer applications.
May be required to occasionally work extended hours and weekends.
Requirements:
Education: Requires associates degree or two years of college in Business or a related field. Requires a valid Oklahoma driver’s license.

Experience: Requires one-year previous related experience.
Knowledge and Skills: Above average knowledge of English grammar as well as light bookkeeping, accounting and standard office practices. Must be skilled in computer operations, including Microsoft Word, spreadsheets, including Excel, and E-mail, operation of copy machines and other office machines. Must be able to work with others and follow instructions.
