Under the general supervision and guidance of the Coordinator for Graduate Admissions, efficiently and accurately process a high volume of time sensitive graduate student applications and supplemental materials, interact with prospective students, process admissions decisions, maintain confidentiality and provide support to graduate staff and faculty across campus. Assistance with general Graduate School Admissions office functions will also be required as well as ongoing support of strategic enrollment efforts and processes. Attention to detail, strong time management skills and experience with data entry/integrity are essential to this role.
Duties/Responsibilities
Admissions Application and Document Processing (60%)
Efficient and timely entry and review of data in Admissions System, including review of newly submitted applications, updates to required data, editing of any data errors and review of the application checklist for accuracy
Verify authenticity of supplemental application documents like transcripts, letters of recommendations and test scores (ensure quality and consistency of items received)
Review documents and transfer data from the documents to the corresponding records in the Admissions System
Process special exceptions to applications such as waiver requests, change of degree, terms or program, deferrals, readmits and secondary certifications
Assist with processing accelerated master’s applications and subsequent student coding for those who are admitted
Review completed applications to ensure accuracy before sending to departments for review
Process admissions decisions from departments
Assist in updating/maintaining documentation for admissions processes
Graduate Community Support (20%)
Serve as the primary contact for applicants and department/staff admissions questions throughout the admissions process via email, phone, chat or walk-in
Log all communications in the Admissions System
Provide general admissions and policy information to prospective students/applicants and assist with connecting them to a department representative for program specific information
Assist department admins and coordinators with admissions related questions, reports and admissions process training
Participate in bi-weekly admissions meetings and staff meetings
Data Integrity/Management (15%)
Regularly monitor the data flowing from Admissions System into the Student Information System
Manage daily error and hold reports
Assist with bulk data updates such as end of semester close out, degree awarded and analysis of conditions met for conditionally admitted students
Assist with student record coding to ensure accuracy and ability for students to register
General Office Duties (5%)
Respond to walk-in, email and telephone inquiries from prospective and current applicants, students, faculty, and staff on all matters concerning admission status, student status, Graduate School policies, etc. and track and follow-up with prospective applicants
Assist with work-study training
Other duties as assigned
Minimum Acceptable Education & Experience:
High school diploma or equivalent.
Required Knowledge, Skills & Abilities:
Very detail oriented with strong data entry/processing experience
Ability to work quickly and accurately to meet deadlines
Strong written and oral communication skills
Ability to establish and maintain effective working relationships with faculty, staff, students and the public
Preferred Qualifications:
Salesforce or other CRM experience
Experience in a college/university work environment
Bachelor's degree
