Responsibilities:

  • Screen and direct all calls coming into the office
  • Coordinate medical leadership schedule of appointments, meetings, etc.
  • Transcription, general correspondence as needed
  • Organize and assist in coordinating socials, meetings, conference calls and other special events
  • Responsible for completing daily volume reports and trends as needed necessary by on-site Medical Director(s)
  • Place reminder calls to physicians and key players at the hospitals for monthly and quarterly meetings and conference calls
  • Coordinate and record all clinician CME and other required documents by the company and/or the facility
  • Record minutes for meetings and conference calls
  • Establish and maintain files both hard copy and electronically
  • Screen, re-direct, and assist callers – patient complaints, physicians with questions, physician payroll errors, hospitals requesting information
  • Assist Regional Clinical Performance Advisors with various mail outs, phone calls, etc. for the facility
  • Performs general duties such as typing, operating office machines, ordering supplies and materials, etc.
  • Update facility contacts and account/hospital team in Salesforce
  • Create and maintain graphs and spreadsheets as needed to analyze and report data.
  • Prepare reports/letter in Microsoft Word, Excel and PowerPoint.
  • Assists with any special projects and other duties that arise.
  • Run reports and data from the EMR.
  • Any other duties deemed necessary by management.

Knowledge, Skills, and Abilities:

  • Exceptional organizational skills
  • Ability to communicate effectively with all levels
  • Excellent working knowledge of Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint). 
  • Exceptional attention to detail.

EDUCATION:

  • High School Diploma, required.
     

WORK EXPERIENCE/QUALIFICATIONS:

  • 4+ years of applicable administrative experience, preferably in medical practice, hospital, or other clinical environment.
