Overview

The Ward Clerk provides the clerical support for the patient care area. She/he ensures that the unit is provided with adequate tools and the necessary resources. The ward clerk communicates appropriately with other disciplines in order to assist in the delivery of optimum care.

Responsibilities

  • Maintains neat and orderly Bulletin Board.
  • Assesses the need for stationary, lab and central supplies’ and orders supplies as needed; maintains adequate inventory on patient care area.
  • Participates in unit meetings.
  • Organizes charts for admission, discharge and transfer.
  • Reviews and updates for accuracy and completeness of hospital forms in the patients charts.
  • Schedules patients for special tests and clinical visits.
  • Maintains orderly and up-to-date addressograph plates, charts, and desk files.
  • Sorts mail daily and deliver mail to the appropriate person/discipline.
  • Acts as unit receptionist.
  • Files records, manuals and reports in correct location.
  • Prepares records or reports such as dietary changes and daily admissions and discharges.
  • Conveys Telephone messages timely and accurately.
  • Notifies appropriate departments of admission, discharges and transfers.
  • Documents timely in hospital clinical system patient admission, transfer, and discharge status
  • Updates all discharges and transfers from patient roster and dates same.
  • Removes all discharges, transfers from board after checking with charge nurse.
  • Notifies Charge Nurse of identified (or potential) problems
  • Attends mandatory classes.
  • Assists in the maintenance of equipment, camisole restraints.
  • Adheres to Hospital Policy and Procedures.
  • Reports any inappropriate, unusual patient behaviors to charge nurse.
  • Prepares admission package.
  • Conducts environmental rounds once a week on the assigned unit(s).
  • Generates a report on equipment needing repair.
  • Faxes orders and other requests to other services department
  • Keeps treatment room (supply area) and storage room clean and organized.
  • Keeps admission, discharge log book up to date.
  • Assists in visiting hours by checking visitor’s packages (Inpatient psychiatric units only)
  • Acts as a receptionist for visitor and patient communication
  • Makes sure all patient rights and legal status forms are in the chart.
  • Ensures that all patients are provided with Identification and Alert Bands.
  • Performs other duties as assigned.

Qualifications

Education:

  • High School Graduate or GED required.

Experience:

  • One (1) year clerical experience preferred.

Knowledge and Skills:

  • Basic computer skills.
  • Demonstrates respect and professionalism in all interactions.
  • Excellent oral and communication skills. 
  • Able to read, write, see and hear English.

Physical Requirements:

  • Involves standing, walking, sitting, talking, hearing and bending.
  • May include some repetitive motions.
