Job Description Summary

‎ 

The Front Desk Receptionist is the first point of contact for patients and visitors in a managed care primary care clinic. This role ensures a welcoming environment while managing patient check-in/check-out, scheduling, insurance verification, and communication with clinical staff. The receptionist supports smooth clinic operations by balancing customer service with accuracy, efficiency, and compliance with healthcare regulations.

Duties and responsibilities 

  • Greet patients, visitors, and vendors in a professional and courteous manner. 

  • Manage patient check-in and check-out, ensuring accurate collection and entry of demographic, insurance, and billing information. 

  • Verify insurance eligibility and obtain necessary authorizations prior to appointments. 

  • Collect copayments, balances, and issue receipts; reconcile payments at end of day. 

  • Schedule, reschedule, and confirm patient appointments in accordance with clinic policies and provider availability. 

  • Answer multi-line phones, respond to inquiries, and route calls/messages to appropriate staff. 

  • Maintain confidentiality and comply with HIPAA and all clinic policies. 

  • Support managed care requirements, including verifying referrals and authorizations as needed. 

  • Communicate effectively with providers and medical assistants to support patient flow. 

  • Assist with patient forms, medical records requests, and other administrative tasks. 

  • Monitor the waiting area and ensure patient comfort and safety. 

  • Participate in quality initiatives such as patient satisfaction efforts and managed care documentation accuracy.
