Position Duties

The Study Abroad Advisor will provide essential support to the Dean, Office of International Programs in the development, administration, and management of short-term study abroad programs. This role involves direct engagement with students, program logistics, and administrative tasks. The advisor will be responsible for guiding students through the study abroad process, ensuring successful and enriching international experiences, and supporting the department's website, communication efforts, and software needs.

Essential Functions 

Short-Term Program Development & Administration: 

  • Assist in the development and administration of short-term study abroad programs. 

  • Monitor payments, student status, and records to ensure accuracy and timely processing. 

  • Support pre-departure and post-departure programming, ensuring students are well-prepared for their international experience and supported throughout. 

 

Advising and Student Support: 

  • Serve as the primary point of contact for students seeking guidance on study abroad programs. 

  • Advise students on program selection, application procedures, and logistical details related to their study abroad experience. 

  • Provide ongoing support during the pre-departure phase, the duration of the program, and post-arrival, ensuring a smooth and successful international experience. 

  • Manage the application system for exchange students, ensuring it is up-to-date and running smoothly. 

  • Support the exchange student experience by maintaining balance information and general communications throughout the lifecycle of the exchange process. 

 

 

Website & Software Support: 

  • Assist with maintaining and updating the department’s website and any associated software platforms. 

  • Provide technical support to students, faculty, and staff using the website and related tools for study abroad applications and program management. 

 

Outreach & Communications: 

  • Maintain and update outreach materials for study abroad programs, ensuring that all materials are accurate and engaging. 

  • Collaborate with the program team to ensure consistent messaging and communication with students and external partners. 

  • Provide general email and communications support to the study abroad office, answering inquiries and facilitating communication with students, parents, and faculty. 

 

Performs all other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.

Minimum of 1 years related experience required.

Required Knowledge, Skills and Abilities
Past experience in a professional setting with students from varied background (culture, language, religion, identity, etc.). A cursory knowledge (and interest in) educational information systems and student records management systems preferred. Ability to prepare and maintain budgets and generate Excel and other reports. Ability to maintain confidentiality and use discretion. Demonstrated experience organizing, planning, and coordinating events. Ability to support the University's goals for institutional diversity, as well as the goals and values of a Catholic, Jesuit education.
