Position Duties

Provides administrative support to a large department or program. Duties include providing a diverse range of administrative support while balancing multiple priorities in support of department and University goals.

The Program Assistant provides vital administrative support to the Forensics Department, working closely with the Director of Program Operations and Graduate Directors to ensure the smooth operation of day-to-day activities. This role involves managing a variety of responsibilities while balancing multiple priorities to support both departmental and University-wide goals. This dynamic position is ideal for someone who is highly organized, proactive, and eager to contribute to a collaborative academic environment.

Serving as the primary point of contact for all departmental inquiries, the Program Assistant plays a key role in maintaining an organized and welcoming office environment. Core duties include responding to emails and phone calls, making photocopies, managing supply orders and inventory, and completing other administrative tasks as assigned.

Additional responsibilities include:

  • Assisting in the development and coordination of course schedules for both undergraduate and graduate programs.
  • Supporting marketing efforts by creating target lists and distributing graduate program materials.
  • Acting as a liaison to the campus bookstore.
  • Submitting facilities and IT requests for classrooms and office spaces.
  • Coordinating departmental scheduling needs.
  • Planning and supporting department events.
  • Taking meeting minutes and distributing them in a timely manner.
  • Supporting faculty position searches and hiring processes, including onboarding.
  • Hire and supervise student workers.
  • Maintaining and updating the department’s website.
  • Serving as the primary purchaser for classroom and office supplies and monitoring the supply budget.
  • Supporting the use of Workday and other university systems for daily operations

The Program Assistant needs to be comfortable with the subject matter discussed in the department and by students. There are frequent open discussions of case and course topics in offices, classrooms, hallways, etc. that cover violent crimes, death, and related subject matter.

Work Experience

3 - 5 years of relevant experience

Required Knowledge, Skills and Abilities
Knowledge of office practices, procedures, systems, and equipment. Ability to answer multiple phone lines while maintaining poise and providing first-rate customer service. Proficiency in Microsoft Office products (i.e Word, Excel, PowerPoint, Outlook, etc.) and data systems. Excellent written and oral communication skills, efficient work habits, strong organizational skills, and strong attention to detail. Strong multi-tasking and follow-up skills with ability to manage and meet multiple deadlines. Ability to produce accurate work and prioritize effectively. Ability to prepare and maintain budgets and generate Excel and other reports. Ability to maintain confidentiality and use discretion. Demonstrated experience organizing, planning, and coordinating events. Ability to support the University's goals for institutional diversity, as well as the goals and values of a Catholic, Jesuit education.
