Mount Holyoke College is looking for a Records and Services Specialist to join the Office of the Registrar. This is a three-quarter-time, fixed-term position ending December 31, 2027. The desired hours are 8:30 a.m. to 2:30 p.m., Monday through Friday, with a half-hour break.
We are seeking an energetic, hard-working, and detail-oriented individual who excels in a fast-paced environment. The ideal candidate will have excellent interpersonal and communication skills, and a proven ability to quickly learn and retain new procedures and policies.
This role is a vital part of the Registrar’s team, responsible for a wide range of duties that support the entire office. You will manage a high volume of inquiries from students, faculty, administrators, parents, and others. The position also involves extensive data entry, clerical support, and assisting team members with routine and project-based work.
Essential Duties and Responsibilities:
Under the supervision of the Acting Registrar, the Records and Services Specialist will:
Respond to in-person, phone, and email inquiries about academic and administrative policies.
Provide transcripts, certifications, and other verifications of attendance and degree conferral.
Perform extensive and meticulous data entry into our student information system, spreadsheets, and other platforms.
Assist with key office processes, including registration, final exam administration, and five-college interchange registration.
Manage office supply purchases, mailing services, and other financial tasks, following Mount Holyoke's policies.
Collaborate closely with the Registrar’s team, providing assistance with various tasks and projects.
Qualifications
Required:
Bachelor's degree and at least two years of relevant experience, or a combination of education and relevant records administration experience.
Proven accuracy and organization in completing detailed tasks.
Excellent oral and written communication skills with the ability to clearly and tactfully explain and enforce policies.
Strong skills in Microsoft Word and Excel.
Ability to multitask and quickly transition between projects while managing multiple, concurrent priorities and meeting strict deadlines.
A talent for working effectively with all members of the campus community and a desire to work in a team environment.
Demonstrated ability to manage sensitive and confidential student information with the utmost discretion.
An energetic, good-humored, and tactful approach to a busy and dynamic work environment.
Preferred:
Previous work experience in a higher education setting.
Proficiency with Google Suite (Gmail, Google Drive, etc.).
Hiring Range: $23.58 - $25.95
