We are searching for the best talent for a Sr. Executive Administrative Assistant to support our Chief Scientific Officer, J&J MedTech in New Brunswick, NJ.  This role will work a Flex/Hybrid schedule with periodic availability for travel as needed to support events or offsite meetings.

Purpose:  The Executive Administrative Assistant (EA) will provide high-impact administrative support enabling efficient operation, strategic scheduling and successful execution of cross-functional initiatives in a fast-paced environment.  This role requires discretion, proactive ownership, and strong collaboration across the organization, with a focus on calendar management, travel & expense processes, procurement support, data gathering, meeting logistics, and confidential material handling.  The successful candidate will be adept at independently assessing and resolving complex situations while demonstrating flexibility in response to shifting priorities.

You will be responsible for:

  • Direct executive support to the Chief Scientific Officer, J&J MedTech and the Vice President, MedTech Value Creation including proactive calendar management to optimize meeting scheduling, ensuring efficient use of time and alignment with priorities.
  • Organize and oversee domestic and international travel arrangements, including the preparation and completion of travel expense reports.
  • Manage activities of both offices with minimal supervision ensuring on-time execution and alignment with strategic priorities; proactively anticipate needs and deliver accurate, detail-oriented results.
  • Manage end-to-end planning and logistics for meetings, events, offsites and site visits.  Assist leader with post meeting follow-ups.
  • Organize and oversee events and meetings with internal and external partners, coordinate logistics for visits. 
  • Oversee department materials and repositories (e.g., organization charts, distribution lists, conference rooms); support SharePoint and related portals, ensuring version control and appropriate access.
  • Handle highly confidential documents and materials; exercise independent discretion and judgement; maintain high standards of confidentiality and ethics.
  • Collaborate with extended teams and other executive assistants to streamline cross-functional workflows.
  • Support procurement processes (purchase orders, vendor communications.  
  • Support onboarding/offboarding activities; coordinate recruiting processes and assist with the transition of new team members as needed.
  • Demonstrate strong organizational skills to multi-task and prioritize effectively in a fast-paced and matrix environment.
  • Utilize knowledge of company and division objectives, organizational structure, and policies and procedures to enhance efficiency and effectiveness.
  • Make recommendations for process improvements and workflow enhancements as appropriate.
  • Support event coordination efforts, overseeing logistics and execution of various organizational events and meetings.
  • Identify opportunities to improve processes and implement standard operating procedures to enhance calendar hygiene, meeting efficiency, and project tracking.

Qualifications / Requirements:

  • A minimum of a high school diploma is required.  (Associate's Degree or higher is preferred).
  • Minimum of 6 years of experience providing executive-level administrative support required.
  • Strong organizational skills and demonstrated ability to prioritize multiple projects and meet tight deadlines. 
  • Demonstrated experience supporting senior-level leadership and maintaining strict confidentiality; ability to handle sensitive information with discretion.
  • Attention to details and proven ability to use good judgment to solve problems regarding project, department or division-related work.
  • Customer and employee-focused and able to work under minimal supervision.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Expert Proficiency in Microsoft office programs (Word, Excel, PowerPoint, Outlook, etc.).  Proficiency with additional productivity and collaboration tools (Zoom, Workday, SharePoint, Teams, OneDrive, and related portals).
  • Excellent verbal and written communication skills, with exceptional interpersonal skills and ability to interact effectively with all levels of the organization.
  • Comfortable with ambiguity and able to adapt to changing business needs and priorities.
  • Demonstrates Johnson & Johnson’s Leadership Imperatives and Credo to all stakeholders internally and externally.
  • This role may require additional working hours outside of the regular business hours. Occasional travel may be required to support off-site meetings and events.

The anticipated base pay range for this position is :

The base pay range is $74,550 to $119,542.50.

Additional Description for Pay Transparency:

Subject to the terms of their respective plans, employees and/or eligible dependents are eligible to participate in the following Company sponsored employee benefit programs: medical, dental, vision, life insurance, short- and long-term disability, business accident insurance, and group legal insurance. Subject to the terms of their respective plans, employees are eligible to participate in the Company’s consolidated retirement plan (pension) and savings plan (401(k)).
