A Brief Overview

The Executive Assistant provides high-level administrative support to executive and leadership teams. This role requires discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant serves as a liaison between leadership and internal/external stakeholders, ensuring efficient operations and communication.

What you will do

  • Administrative Support: • Prepare, edit, and format documents including correspondence, reports and meeting minutes. • Maintain organized filing systems and ensure timely document distribution. • Manage confidential and time-sensitive information with discretion. • Conduct research and compile background material for meetings.
  • Scheduling & Coordination: • Manage calendars, schedule meetings, and coordinate appointments. • Arrange travel logistics including transportation, lodging, and car rentals. • Organize board and committee meetings, including room reservations and materials preparation. • Provide administrative support for Boards and executive committees, as requested.
  • Communication & Liaison: • Answer and direct phone calls; greet and assist visitors. • Serve as a point of contact for internal and external stakeholders. • Anticipate executive needs and proactively manage priorities and follow-ups. • Represent executive values and preferences in communications and decision-making.
  • Operational & Project Support: • Assist with invoice coding and basic accounting functions. • Support quality assurance, compliance, and accreditation documentation. • Attend meetings and accurately record minutes.
  • Flexible Support Based on Leadership and Department: • Perform a variety of tasks and responsibilities as requested by executives, tailored to specific leadership styles and departmental goals. • Adapt to changing priorities and provide support across different organizational functions. • Assist with special initiatives, strategic planning, and cross-functional projects. • Provide backup support to other administrative staff as needed. • Engage in continuous learning to stay aligned with evolving organizational needs.

Essential Qualifications

The individual must be able to work the hours specified. Required Education, License/Certification, or Work Experience:

  • Associate's or equivalent combination of education and experience.
  • 4-6 years of relevant administrative or executive support experience.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office. (Word, Excel, Outlook)
  • Ability to manage multiple priorities and shift directions quickly.
  • High level of professionalism and confidentiality.
  • Strong organizational and problem-solving abilities.

Preferred Education, License/Certification, or Work Experience:

  • Experience in healthcare environment.
