The Atlanta Falcons are a professional American football club and member of the National Football League (NFL).  The team’s headquarters and practice facility are located on a 50-acre site in Flowery Branch, Georgia.  The Falcons’ NFL expansion franchise was awarded in 1965 and acquired by current owner Arthur Blank, co-founder of Home Depot, in 2002.

Position Summary

As a key member of the Atlanta Falcons front office, the Executive Assistant to the President of Football is responsible for a wide range of administrative and organizational functions supporting the president. The Executive Assistant (“EA”) will provide scheduling, logistical, and general administrative support, and will play an active role in key projects as directed. They will serve as liaison for communication to the office of the president and will provide personal support related to the president’s daily routines. The EA will proactively and confidentially manage the president’s calendar and email, coordinate and prepare for meetings and games, and support internal and external teammates and groups, representing the Falcons front office in a professional manner at all times.

Roles and Responsibilities

·       Proactively and efficiently manage the president’s calendar; schedule appointments with internal and external individuals and groups; coordinate with other assistants and department liaisons to schedule meetings and briefings

·       Serve as primary point of contact for the president’s availability

·       Maintain the president’s email communications, internal and external contacts and other Microsoft Outlook data

·       Coordinate executive travel using Concur system; provide and maintain detailed travel itineraries, agendas, and advances; submit timely expense reports and reimbursement requests on behalf of the president

·       Assist with travel coordination, partnering with travel & operations and aviation teams as needed

·       Independently gather, compile and analyze information from multiple sources; prepare a variety of detailed correspondence, memos, reports, and itineraries which are generally confidential in nature. Use various PC software (Microsoft Office, Teams, Forms, Excel, Power Point, Outlook) to produce high quality documents

·       Conduct basic research, compile information and prepare documents for presentation to executives, team members, and other key stakeholders

·       Prepare for meetings, presentations, and speaking engagements including logistics, catering, audio, and IT requirements; attend select meetings to scribe, compile and distribute notes

·       Receive and screen phone calls with exemplary telephone manner

·       Create and maintain efficient organizational systems using Microsoft OneNote

·       Seamlessly coordinate with other front office team members on a continuous basis, including preparation for meetings, activities, special events, and celebrations, including but not limited to NFL Combine, Free Agency, Draft and Training Camp

·       Serve as a liaison between the president and the owner/chairman regarding meeting and event scheduling, preparation of materials, and support of the president in any required interaction with the owner/chairman

·       Administer gameday sideline passes; manage personal requests partnering with football administration and the CEO’s office as needed

·       Coordinate and provide support for the president’s gameday suite and guests before and during Falcons home games

·       Assist with merchandise and apparel orders for departments, partnering with key stakeholders on budget management

·       Assist with departmental catering needs

·       Process invoices for payment through the Concur system

·       Provide support for the president’s spouse and family, as needed, including but not limited to travel, game tickets, parking, and sideline passes

·       Provide overall support to the president as needed to assist with daily office/life management; may include supporting in a personal manner as needed

·       Professionally represent president with complete integrity and discretion

Qualifications and Education Requirements

·       Bachelor’s Degree

·       Previous experience directly supporting senior football or business executives, OR

·       Previous experience supporting Falcons business and football operations

·       Working knowledge of Falcons front office and football operations organization

·       Working knowledge of Falcons football schedule and tentpole events

·       Ability to be on call, accessible and available to assist as needed according to the president’s work and travel schedule as well as during the NFL season as needed to support games and events such as the NFL Draft, Combine, training camp, etc.
