 Job: Specialty Clinic Clerk

The Specialty Clinic Clerk provides administrative support to ensure efficient operation of the medical office. This role is responsible for greeting patients, managing incoming calls, scheduling appointments, maintaining medical records, handling billing and insurance forms, and assisting medical staff with clerical tasks. The ideal candidate will have strong organizational skills, attention to detail, and excellent communication abilities. Provides patient care in alignment with American Nurses Association (ANA), and appropriate governing body as it relates to specific clinic standards.

Key Responsibilities:

  • Greet and check in patients in a courteous and professional manner
  • Answer and route incoming phone calls; take messages as needed
  • Schedule and confirm appointments using the office scheduling system
  • Maintain and update patient records in electronic health records (EHR) systems
  • Verify patient insurance and collect co-pays or payments at time of service
  • File, scan, and retrieve documents as needed
  • Assist with billing processes and submit insurance claims
  • Process incoming and outgoing mail
  • Ensure confidentiality of patient information following HIPAA regulations
  • Support physicians, nurses, and other staff with general administrative tasks
  • Maintain cleanliness and organization of the front desk and waiting area
  • Participation in peer review activities and other quality/safety initiatives
  • Maintains required education set forth by the institution and department per policy
  • Adhere to all policies and protocols set forth by the institution
  • Other duties as assigned

Qualifications:

  • High school diploma or equivalent required
  • Previous experience in a medical office or healthcare setting preferred
  • Knowledge of medical terminology and HIPAA compliance
  • Proficiency with computers and EHR systems (e.g., Epic, Cerner, or similar)
  • Strong organizational and multitasking abilities
  • Excellent interpersonal and communication skills
  • Strong emotional intelligence, including the ability to manage stress, show empathy, communicate effectively, and respond appropriately in sensitive or high-pressure situations.

 Work Environment: 

  • Exposure to infectious diseases, hazardous materials, radiation, and emotional situations 
  • Frequent standing, walking, lifting, and bending
