Responsible for managing the accounting procedures, invoicing workflows, and protection of all Golf Shop merchandise inventory and supplies, with daily oversight of stock room operations. This individual works closely with the Merchandise Manager and other team members to ensure inventory is accurately received, checked in, reconciled, ticketed, and prepared for the sales floor. Strong attention to detail and accounting accuracy is essential.
QUALIFICATIONS
- Bachelor’s degree or equivalent experience
- 4 years related experience in merchandise, inventory control, accounting, or receiving
- Thorough knowledge of general business practices, retail sales, inventory procedures, and basic accounting principles, typically gained from at least four years of related experience
- Previous experience with merchandise receiving, invoice coding, and vendor communication required
RESPONSIBILITIES/DUTIES
- Oversee all accounting and receiving procedures related to purchase orders, packing slips, shipping documents, and invoices for golf-related merchandise
- Accurately receive, verify, and reconcile all incoming merchandise against purchase orders; ensure discrepancies are documented and resolved promptly
- Code, track, and file all invoices and purchase orders; route invoices to the Head Golf Professional and accounting department following established protocols
- Monitor and maintain invoice accuracy by verifying prices, quantities, freight charges, and discount structures
- Manage shrinkage prevention programs and ensure proper training of all stockroom staff in inventory control and audit procedures
- Ensure staff follow proper receiving, invoicing, and inventory-checking procedures in accordance with established policies
- Maintain comprehensive records for RTVs (returns to vendors) and secure necessary RA numbers, credits, and proper documentation
- Accurately label, categorize, and organize all merchandise stored in the stockroom, including temporary, permanent, and basic-fill inventory
- Conduct regular inventory audits in coordination with the Merchandise Manager; verify par levels and maintain accurate perpetual inventory records
- Oversee and maintain stockroom and golf shop inventories, including physical counts, variance research, and reconciliation
- Assign and supervise team members responsible for researching inventory discrepancies and resolving stock variances
- Oversee all staff and member special orders, ensuring accurate check-in, invoicing, billing, and communication with all relevant parties
- Input, update, and reconcile purchase orders within the Buying Plan; distribute daily or monthly change reports and coordinate updates with the PGA TOUR’s Merchandising Department
- Support merchandise accounting and inventory needs for PGA TOUR-related events, group outings, or seasonal events
- Run regular accounting and inventory reports to confirm accuracy and proper product levels
- Maintain a professional, organized, and efficient stockroom environment
- Perform special projects or other duties as assigned
