Responsible for assisting the department in providing intervention and follow-up care to the patient, coordinating daily patient assignment tasks and supporting inpatient customer service and patient satisfaction, while maintaining a quality of standard care, anticipating daily work load and prioritizing activities

Essential Responsibilities

1. Demonstrates compliance with Code of Conduct and compliance policies and takes action to resolve compliance questions or concerns and report suspected violations.
2. Performs daily patient assignment, assigning overnight and pending admissions to incoming day time physicians, adhering to guidelines for assigning re-admissions, family medicine service patients and coverage of physicians.
3. Coordinates and enters daily and nightly physician schedules in the electronic system, ensuring accuracy and timely updates.
4. Coordinates and enters admission rotation for physicians and residents on service in the electronic system, assigning daily coverage, ensuring accuracy and timely updates.
5. Performs weekly change-of-service assignments and monitors ongoing patient census to ensure balanced workloads; maintains Daily Census Reports – including admissions by day and night.
6. Acts as the primary point of contact for schedule adjustments and patient assignment updates throughout the day.
7. Conducts patient call-backs, responds to patient inquiries and confirms scheduled appointments in a timely, professional manner; greets and directs visitors courteously and efficiently.
8. Assists with prior authorizations, pharmacy inquiries, referrals, and related paperwork in collaboration with the Quality Nurse and physicians; responds to patient and pharmacy inquiries as directed by the Quality Nurse and physicians.
9. Obtains required provider and patient signatures; documents in the Electronic Health Record as necessary, ensuring accuracy.
10. Distributes informational materials to patients while maintaining appropriate professional boundaries.
11. Monitors inventory levels and coordinates ordering of physician business cards, prescription pads, and department informational materials. 
12. Generates monthly report consisting of patient related metrics for review and approval by the Quality RN that is presented at the monthly hospitalist meeting; reports on recurring issues that arise from pharmacy as directed by leadership.
13. Answers telephone calls promptly and professionally; routes calls or messages to appropriate personnel. 
14. Receives, reviews, and prioritizes incoming faxes, correspondence and mail; responds or redirects as appropriate.
15. Prepares and distributes reports, schedules, details meeting minutes, agendas, and other documentation as assigned; coordinates meeting logistics, including room reservations, equipment, materials, and catering as needed. 
16. Maintains leadership calendars and coordinates appointments, events, and committee meetings, ensuring all relevant parties are informed of schedule changes. 
17. Orders and maintains department supplies through approved vendors, monitoring inventory levels and replenishing as needed. 
18. Ensures office, copy, and break areas are organized, stocked, and clean; submits Facilities and Environmental Services work orders as required.
19. Adheres to department budget by following cost-effective purchasing and operational practices. 
20. Maintains accurate and confidential employee personnel files, including onboarding documentation, personnel actions, education requirements, and disciplinary records.
21. Serves as the department Safety Champion, conducting physical safety inspections, documenting compliance, and initiating corrective actions as needed; submits safety-related work orders promptly and monitors follow-up actions.
