WeтАЩre looking for a high-energy, detail-oriented relationship builder to join the team. In this role, you will work with our state agency and university partners providing direct administrative support to three senior safety management consultants, two return-to-work consultants, as well as the manager. This person will also provide support to regions, as needed, and work with staff from many SAIF divisions as well.тАп
As our coordinator, you will create reports, maintain database and corporate report integrity, oversee material supplies and other team logistics, support team projects/schedules, and coordinate the activities between team members and our policyholders including employer training events and other outreach efforts such as safety fairs. This position has frequent and ongoing interaction with state agency and university contacts as a resource and information liaison. Periodic local travel to other SAIF offices to support employer training events and to policyholder locations as an information liaison will be required. The position requires strong Excel and computer skills with Microsoft Office and SharePoint.┬а
RESPONSIBILITES:
Manage the full document and data report lifecycle, including drafting, editing, formatting, and validating reports and communications. Enter and maintain data in computer systems, generate reports, and ensure data integrity and accuracy in alignment with company standards and stakeholder requirements.
Manage the regular distribution of data reports to external and internal business partners which includes receiving, organizing, sending, and saving copies of reports. Coordinates and makes changes to subscription reports in collaboration with stakeholders and policyholders.
Provide comprehensive support to policyholders by resolving issues, coordinating training logisticsтАФincluding managing invitee lists, catering arrangements, and participant assistance in both in-person and virtual settingsтАФand leveraging Qualtrics dashboards to analyze and respond to state agency customer sentiment data for continuous service improvement.
Provide cross-functional support by coordinating interdepartmental activities, managing project logistics, and assisting with recurring operational tasks.
Schedule meetings including coordinating dates and times with multiple internal and external stakeholders using polling and other systems. Send out invitations, collate and share relevant documents with participants, provide in-meeting document sharing, and takes meeting notes. Summarize and share insights from meetings with participants.
Manages the teamтАЩs internal communication site and externally facing Teams channels.
Supports return-to-work consultants in completion of low complexity daily activities. Separately support the teamтАЩs safety consultants in projects, events, and other activities.
Assists other divisions with unique recurring tasks and projects including monthly data scoping.
Provide front-line administrative support including reception services, guest assistance, mail handling, and phone correspondence routing if necessary.
Manage multiple inboxes including reviewing, responding, and routing emails to others includes regular distribution of large or sensitive data reports utilizing ShareFile.
Contact company personnel at all organizational levels to gather information and prepare reports.
Provide a variety of fiscal services, such as, purchase ordering, payment posting, and verifying and routing invoices for payment.
Maintain department files, resources, and other materials utilized by the state agency team.
Work may require on-site or field work assigned by the supervisor including training, safety fairs, or other events

ADDITIONAL FUNCTIONS:
Perform other duties as assigned by management to support team objectives and organizational goals, demonstrating flexibility and adaptability in responding to evolving priorities and needs.
RECOMMENDED QUALIFICATIONS:
Three or more years' experience demonstrating ability to maintain system integrity, support department projects, and provide administrative support to a manager or department.
A high school diploma or equivalent.
Other combinations of skills and experience may be considered.

Compensation & Benefits
Typical hiring range:тАПтАПтАО тАО$56,844тАПтАПтАО тАО-тАПтАПтАО тАО$66,875.тАПтАПтАО тАОThe pay range for this position is annually based on a full-time schedule. Actual compensation will be determined┬аusing factors such as experience, skills, training, certifications & education.┬аSAIF provides a wide range of benefits to employees who work at least 20 hours per week, including health care, retirement savings plans, paid time off, and more.
