The Supervisor, Mail Service & Materials Management provides hands-on, day-to-day supervision and operational support across Mailroom Operations, Inserter Services, and Shipping & Receiving. This position routinely performs the same operational duties as staff and serves as a working field supervisor and universal floater, providing direct coverage during peak workloads, staff absences, and critical processing periods capable of directly performing and leading all core mail and materials functions to ensure continuity of operations, regulatory compliance, and service level performance. The Supervisor coordinates daily workflows across mail, inserter, and materials functions and partners closely with Print Services and Warehouse Operations to support production schedules, material movement, and delivery timelines.

    How You Contribute to the Company’s Mission in this Role:

    • Supervise daily operations across Mailroom, Inserter Services, and Shipping & Receiving

    • Actively work in the field to support staffing needs, backfill positions, and maintaining workflow continuity

    • Serve as the escalation point for operational issues when Leads are unavailable

    • Ensure daily workloads, deadlines, and service level expectations are met

    • Oversee incoming and outgoing mail processing, postage metering, certified mail tracking, and parcel shipments

    • Supervise inserter operations to ensure production standards, security requirements, and HIPAA compliance are met

    • Coordinate with Print Services to ensure seamless job flow and adherence to production schedules

    • Ensure postage balances, meter reconciliation, and production logs are accurate and maintained

    • Oversee shipping and receiving activities to ensure accuracy, completeness, and condition of shipments

    • Coordinate routing, loading, and materials movement in compliance with safety and weight regulations

    • Support inventory tracking, supply ordering, and internal distribution

    • Coordinate with Warehouse Operations to ensure proper storage and movement of materials

    • Assign daily work, monitor performance, and provide on-the-job coaching and guidance

    • Assist with onboarding and training of new employees across all functional areas

    • Identify performance gaps and work with Leads and management to address training needs

    • Provide performance input and recommendations to management

    • Ensure compliance with postal regulations, HIPAA guidelines, OSHA standards, and corporate policies

    • Maintain a safe working environment and address safety concerns promptly

    • Support audits, inspections, and compliance reviews

    • Identify process improvement opportunities to enhance efficiency, accuracy, and cost control

    REQUIRED QUALIFICATIONS

    • 4–6 years of experience in mailroom operations, inserter services, shipping and receiving, or materials management

    • 2 years of lead or supervisory experience in an operational or production environment required

    • Experience working in a regulated environment preferred

    • Bachelor’s degree in Business Administration, Operations Management, Logistics, Supply Chain, or a related field preferred.

    • Strong working knowledge of mail processing, inserter operations, shipping, receiving, and internal distribution

    • Ability to perform and oversee all departmental roles including mailroom, inserters, shipping & receiving

    • Demonstrated ability to plan, assign, and balance daily workloads to prioritize work and across multiple functional areas including ability to resolve operational issues independently

    • Strong leadership presence with the ability to provide real-time direction, coaching, and issue resolution on the floor

    • Working knowledge of postal regulations, shipping requirements, and materials handling procedures

    • Strong organizational, interpersonal, oral, and written communication skills

    • High attention to detail with demonstrated confidentiality, judgment, and integrity

    • Proficiency with standard office software and operational tracking systems

    • Ability to work flexible hours, including nights, weekends, and overtime as required

    • Ability to perform all duties in accordance with OSHA safety standards

    LICENSES AND CERTIFICATIONS

    • Must obtain Louisiana Class D Driver’s License within 90 days of employment

    • Ability to obtain required postal or equipment certifications as needed

    PHYSICAL REQUIREMENTS

    • Ability to lift, carry, push, and pull items up to 50 pounds on a regular basis

    • Ability to perform repetitive motions and coordinated physical tasks

    • Ability to work in industrial environments, including exposure to noise, dust, and varying hot or cold temperatures

    • Job duties require frequent standing, walking, bending, and manual handling of materials
