General position summary:

The Document Control Coordinator is responsible for managing, organizing, and maintaining documentation imported into the Government Services imaging system. This role ensures that all required documents are accurately indexed, stored, retrieved, and provided to internal and external stakeholders in a timely and professional manner. The coordinator will also support document requests and track missing documentation as needed.

Essential Duties & Responsibilities:

Accounts Payable & Quick Pay Management

  • Perform daily indexing tasks within the imaging system.
  • Retrieve, distribute, and upload documents as requested by agents or internal teams.
  • Maintain and update missing documentation spreadsheets.
  • Properly store and organize documents in accordance with departmental standards.
  • Ensure documents meet quality and accuracy requirements before processing.
  • Follow established procedures while identifying opportunities for improved efficiency.
  • Support the Document Control Manager with additional tasks as assigned.

Education & Experience:

  • High school diploma or GED required.  
  • Associate degree or equivalent experience preferred.

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports.
  • Ability to speak effectively before groups of customers or employees of organization.

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
