The Event & Tournament Coordinator is responsible for planning, organizing, and executing all club events and golf tournaments. This role ensures a seamless, high-quality experience for members and guests by coordinating logistics, managing vendor relationships, and collaborating across departments including golf, food & beverage, and operations.

Key Responsibilities

Event Planning & Execution

  • Coordinate all aspects of club events including weddings, banquets, social gatherings, and corporate functions
  • Serve as the primary point of contact for clients from initial inquiry through event completion
  • Develop event timelines, layouts, and detailed execution plans
  • Ensure events meet club standards and member expectations

Golf Tournament Coordination

  • Plan and execute member and outside golf tournaments from start to finish
  • Manage tournament setup including registration, pairings, scoring, and prize distribution
  • Coordinate with the golf shop staff to ensure smooth course operations
  • Oversee on-course contests, signage, and sponsor activations

Client & Member Relations

  • Build strong relationships with members, guests, and event hosts
  • Conduct site tours and assist in selling event packages
  • Respond promptly to inquiries and provide exceptional customer service

Logistics & Operations

  • Collaborate with food & beverage, culinary, and banquet teams on menus and service details
  • Coordinate vendors (florists, DJs, rental companies, etc.)
  • Ensure proper setup/breakdown of event spaces and tournament areas
  • Monitor event execution to address issues in real time

Administrative Duties

  • Prepare contracts, banquet event orders (BEOs), and invoices
  • Track event budgets and ensure profitability targets are met
  • Maintain event calendar and scheduling systems
  • Assist with marketing and promotion of club events

Qualifications

  • Bachelor’s degree in Hospitality Management, Event Planning, or related field preferred
  • 1–3+ years of experience in event coordination, hospitality, or golf operations
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Knowledge of golf tournament formats and operations (preferred)
  • Proficiency in event management software and Microsoft Office

Physical Requirements

  • Ability to stand, walk, and move around the property for extended periods
  • Ability to lift/move event materials (up to ~25 lbs) as needed

Pay Range: $15.00 - $27.00
