This position offers the opportunity to lead the design and execution of Moderna’s global strategic meetings management program from our Warsaw hub. You will be a vital member of the Indirect Procurement function, ensuring the delivery of cost-effective, compliant, and high-impact company meetings and events. Working cross-functionally across the enterprise, you will manage strategic vendor relationships, coordinate international event logistics, and ensure adherence to Moderna's internal policies and external regulations. Your contributions will directly support Moderna’s ability to distribute life-saving vaccines globally while cultivating innovation in how corporate meetings are planned, executed, and evaluated. Exposure to modern digital platforms such as Cvent and opportunities to leverage Generative AI tools for automation and optimization are embedded in this role. This is a highly collaborative and globally impactful position, reporting into the Director of Travel, Meetings, and Fleet.

If the right candidate is identified, this role could be elevated to Senior Manager. 

Here’s What You’ll Do:

Your key responsibilities will be:

  • Develop and implement a global Strategic Meetings Management (SMM) framework tailored to Moderna’s business goals and cultural values.

  • Act as Moderna’s internal subject matter expert for all things related to meetings and events management.

  • Optimize sourcing of meeting locations, services, and third-party partners, achieving savings without compromising experience.

  • Deliver a centralized model leveraging technology platforms (notably Cvent) to streamline meeting logistics and compliance.

  • Build strategic relationships with stakeholders across departments and regions to align meetings planning with Moderna’s growth objectives.

  • Proactively train, educate, and support internal users in policy adherence and process excellence.

Your responsibilities will also include:

  • Foster and manage key vendor and supplier relationships, ensuring KPIs, SLAs, and performance metrics are met.

  • Lead RFP processes for external meeting services, ensuring alignment with quality, cost, and compliance requirements.

  • Collaborate closely with Security and EHS functions to embed risk mitigation strategies into event standards.

  • Identify and promote innovative tools and processes—including opportunities to integrate Generative AI solutions—to enhance stakeholder experience and program efficiency.

  • Track and report on savings generated per event and across the fiscal year, maintaining balance between cost optimization and attendee satisfaction.

  • Serve as a bridge across time zones to ensure continuity, coordination, and consistency in global meetings execution.

    You will be expected to champion the adoption and integration of technology platforms such as Cvent, and identify new opportunities—including AI-powered solutions—that bring automation, efficiency, and measurable value to Moderna’s meetings program.

Here’s What You’ll Need (Basic Qualifications):

  • Bachelor's degree or equivalent experience in a relevant field (Business, Hospitality, Event Management, or a related discipline).

  • 5-8+ years of experience in meetings management, and event planning, with strong knowledge of meeting planning, logistics, and industry best practices.

  • Experience with Cvent, event meetings management software

  • Proficient-level skills in the following key competencies/skills: communications, project management, relationship management, influencing, negotiation, financial acumen, analytical, presentation, aptitude for technology, results-focus, professionalism, and success in a matrixed environment
